Location: Cumming, GA

Job Type: Full-time (In-Office, Monday–Friday, 9:00 AM – 5:00 PM)

Salary Range: $45,000-$47,000


We are seeking a highly organized, extremely detail-oriented, and numbers-driven Real Estate Closing Coordinator to join our back-office operations team and assist in the accounting department. This role serves as the critical link between completed real estate transactions and the company’s financial systems.

The ideal candidate will manage the full lifecycle of closing out real estate files — from updating MLS statuses and maintaining compliance records to calculating commission structures and supporting daily accounting operations. This position requires exceptional accuracy, strong organizational skills, and the ability to collaborate effectively with agents, accounting staff, and leadership in an incredibly fast-paced environment.

Compensation:

$45,000 - $47,000


Responsibilities:

Transaction Coordination & Compliance

  • Update property statuses to Closed in both FMLS and Georgia MLS (GAMLS) in accordance with compliance requirements

  • Upload and organize final closing documentation, including signed HUD/ALTA settlement statements and commission check copies, within dotloop and SkySlope

  • Audit completed transaction files across all systems, including AccountTECH (Darwin Cloud), to ensure all financial and administrative records align before finalizing transactions

  • Communicate with vendors, escrow officers, and closing attorneys to obtain missing documents, signatures, or financial information

Commission & Accounting Support

  • Enter detailed transaction data into commission spreadsheets and templates to calculate:

  • Agent commission splits

  • Team overrides

  • Caps and fees

  • Mentor commissions

  • Process ACH/direct deposit payments for agent commissions accurately and on schedule.

  • Manage accounts payable tasks, including paying vendor invoices and maintaining utility/service accounts

  • Scan physical checks and complete remote bank deposits

  • Assist the Controller with accounting-related administrative and data-entry tasks tied to monthly and quarterly processes

Office Operations & Agent Support

  • Monitor and manage the accounting email inbox, responding promptly and professionally to agent inquiries regarding payouts, commission structures, and transaction status

  • Support the Director with administrative and operational projects

  • Provide front desk and reception coverage as needed, including greeting clients and answering phones

  • Collaborate closely with agents and internal departments to ensure smooth, compliant, and stress-free transactions


Qualifications:

Required Qualifications

  • 2+ years of experience in:

  • Real estate administration

  • Transaction coordination

  • Back-office operations

  • Bookkeeping or accounting support

  • Strong organizational skills with exceptional attention to detail

  • Ability to handle confidential financial information with professionalism and discretion
