Job Description

The Remote Billeting Coordinator provides a variety of administrative duties needed to manage billeting and travel for individuals from various companies, organizations, and/or departments and to provide support at the front desk for camp residents on the North Slope. 

This position follows a two (2) weeks on, two (2) weeks off rotational schedule and is based at the Kuparuk oil field.

Responsibilities
  • Perform daily billeting and travel coordination activities in support of large-scale camp operations within a remote environment.
  • Provide front desk support, assisting visitors and new camp residents with camp safety orientations, room assignments, key distribution, and general inquiries.
  • Monitor multiple camp alarm systems and promptly notify the appropriate response teams as required.
  • Prepare and submit routine billeting documentation, correspondence, and operational reports to support efficient office workflow and recordkeeping.
  • Coordinate employee and contractor travel arrangements with a high degree of accuracy and efficiency.
  • Demonstrate advanced proficiency in managing complex schedules, workforce rotations, and shift assignments.
  • Independently manage a high volume of daily interactions with employees, contractors, residents, and external stakeholders.
  • Coordinate office space assignments and facilitate workplace arrangements across multiple departments and locations.
  • Communicate professionally and effectively with senior leadership, clients, contractors, residents, and employees at all organizational levels.
  • Utilize software systems with exceptional attention to detail to ensure accurate data entry, documentation, and record maintenance.
  • Maintain tracking spreadsheets and databases through timely, accurate, and organized data management practices.
  • Support payroll processing, accounts payable functions, and other administrative and business operations as assigned.
  • This position has no supervisory responsibilities.
  • Other duties that are pertinent to the department or unit's success also may be assigned.
Qualifications
  • High school diploma or equivalent.
  • Minimum five (5) years of directly related billeting experience.
  • Valid driver's license and acceptable driving record for the past three (3) years to be eligible under company vehicle insurance policy.
  • Excellent customer service skills.
  • Ability to operate in a climate of confidentiality requiring professionalism and discretion.
  • Ability to effectively operate general office equipment, PC's and type at least 45 words per minute.
  • Must have intermediate experience working with Microsoft Word and Excel.
  • Reliable and dependable attendance in a remote setting.
  • Must successfully complete all pre-employment requirements, which may include a criminal background check, drug screening, physical examination, fit-for-duty assessment, and hearing test. Applicants who do not reside near an approved testing facility are responsible for travel expenses to the nearest testing location.
  • Must be able to live in dormitory style settings and meet cleanliness requirements of the remote camp.
  • Must meet and adhere to all safety guidelines and regulations set forth by the company and client.
  • Contract requires employees to read, write, speak and understand English.

Working Conditions and Physical Requirements

Weather: Indoors/Outdoors - Frequently exposed to arctic conditions.

Noise level: The noise level in the work environment is moderate to loud.

Description of environment: Remote camp setting.

Physical requirements: Must constantly be able to sit, stand, walk, climb, push, pull use hands and arms, stoop, kneel and crouch.  The employee must regularly lift and/or move up to 20 lbs. 

Physical requirements: Fit For Duty Test:

  • Lift: Lift 20 lbs. from floor to knuckle x 2,
  • Lift: Lift 20 lbs. from floor to waist x 2,
  • Carry: Carry 20 lbs. with two hands for a minimum distance of 20 feet, self-paced but continuous,
  • Kneel: Kneel on one knee and stand. Return to kneel on opposite knee. Repeat alternate kneeling sequence x 3 for each knee, self-paced but continuous,
  • Stand from Supine Position Test: From a supine, recumbent position, while wearing arctic gear, test recipient must be able to stand without assistance x 3, self-paced (this task must be accomplished safely without significant loss of balance or falling and without assistance). Allow one re-test when there is a loss of balance considered unsafe or a fall.
  • Stoop & Twist: Perform alternate cross over toe touches x 5 each side, self-paced but continuous,
  • Walk: Walk on a treadmill at 3 MPH for 10 minutes with good balance
  • Stairs: Climb up and down 10 steps x 2 for a total of 20 steps, self-paced.
