Job Description
WHAT'S THE JOB?
Based in a world-class Dexterra camp facility, the Guest Service Administrator plays a critical role in both guest experience and site administration. This position goes beyond check-in and check-out and serves as a key support function to site operations through accurate guest data management, occupancy tracking, forecasting, and reporting.
You will act as an ambassador for the site, providing outstanding customer service to guests while ensuring administrative accuracy related to guest names, dates of stay, room allocations, and occupancy levels. You will work closely with the Site Managers and operational teams to ensure guest information supports planning, forecasting, and reporting requirements.
YOUR WORK WILL INCLUDE
  • Welcoming guests and providing introductory information about the site
  • Serving as the first point of contact for guest and client inquiries via phone and email
  • Allocating guest rooms and issuing room keys and access cards as required
  • Managing the check-in and check-out process for all guests
  • Maintaining accurate records of guest names, room assignments, and dates of stay
  • Ensuring accurate and timely data entry into occupancy and property management systems
  • Forecasting occupancy levels based on bookings and client schedules
  • Running and distributing occupancy, arrival/departure, and utilization reports
  • Supporting site planning through accurate guest and occupancy reporting
  • Ensuring database accuracy for room bookings, payments, and multiple data sources
  • Providing guests with information on camp rules, policies, and services while gathering feedback
  • Assisting with administrative review of safety documentation, time sheets, and maintenance records
  • Supporting the preparation of reports using MS Excel and documentation in MS Word
  • Assisting the Site Manager with day-to-day administrative and operational support tasks

Qualifications
WHO ARE WE LOOKING FOR?
  • Completion of post-secondary education in Hospitality, Business Administration, or a related field
  • Minimum 1 year of logistics, or hotel guest services and/or administrative experience
  • Minimum 1 year of accounting or administrative experience, which can include (but not limited to):
    • Receiving reports
    • Work orders
    • Payroll data entry
    • Invoicing and billing
  • Strong attention to detail with the ability to maintain accurate guest and occupancy records
  • Intermediate proficiency with Microsoft Office (Excel, Word)
  • Experience with Property Management Systems or hospitality software is considered an asset
  • Strong customer service skills with a professional, organized, and responsive approach
