Position Summary:
A successful candidate will possess a strong understanding of clinic operations, patient scheduling, insurance verification, referral management, and general administrative procedures. They will demonstrate exceptional communication and interpersonal skills, with the ability to effectively interact with clinic staff, billing teams, customer service representatives, patients, referral sources, and insurance carriers.
The ideal candidate is a skilled trainer and mentor who can assess knowledge retention, evaluate competency applications in real-world situations, and provide constructive coaching to promote success. They are a critical thinker with strong problem-solving and troubleshooting abilities, capable of adapting to changing priorities and supporting multiple clinic locations. This individual must be reliable, organized, and able to work collaboratively in both remote and in-person environments while consistently contributing value to the organization.
Key Responsibilities:
• Train, onboard, and mentor new Patient Care Coordinators (PCCs), ensuring successful integration into clinic operations and workflows.
• Travel to clinics throughout the organization to facilitate in-person onboarding, training, and operational support (approximately 40% of travel required).
• Assist in the development, coordination, and delivery of monthly training programs for PCC teams.
• Evaluate trainee progress through knowledge assessments, observation, and practical application of competencies to ensure readiness and adherence to company standards.
• Support clinic operations and clinical teams during periods when training activities are not in progress.
• Identify training gaps and provide coaching and corrective guidance to promote employee development and performance improvement.
• Collaborate with clinic leadership and cross-functional teams to ensure consistency in processes, policies, and patient experience across locations.
• Perform other duties as assigned
• Daily tasks/responsibilities are subject to change based on the needs of the company and will be at the discretion of the Director of Education
Education & Experience:
• High school diploma or equivalent required; Associate degree in Healthcare Administration, Business Administration, Education, or related field preferred.
• Previous experience in a Patient Care Coordinator, Medical Office, Healthcare Administration, or related healthcare support role preferred.
• Prior experience training, onboarding, coaching, or mentoring employees is strongly preferred.
• Demonstrated knowledge of clinic operations, patient scheduling, insurance verification, referrals, and customer service practices.
• Experience working in a multi-site healthcare environment and traveling between locations is a plus.
• Proficiency with electronic medical records (EMR/EHR systems), Microsoft Office applications, and other healthcare technology platforms preferred.

• Ability to assess learning comprehension, knowledge retention, and practical application of training concepts.
