Job description

Are you a law firm eBIlling professional? Would you like to work with one of the top law firms in the US? If so, R & W Group has a fantastic remote opportunity! One of our favorite law firm clients is looking for a Lead Electronic Billing Coordinator to work remotely. You can work from any one of 24 different states. NOTE: even though this is remote, you MUST be in the US and you must live in one of these 24 states. In this role, you would support the Electronic Billing Manager in the administration, optimization, and ongoing management of the firm's electronic billing operations. You would serve as a subject matter expert for the firm's eBilling systems, providing guidance to attorneys, Client Account Managers, and Client Account Specialists while ensuring timely, accurate, and compliant electronic invoice submission.
You must be a collaborative problem solver with extensive eBilling experience, exceptional client service skills, and the ability to lead initiatives, improve processes, and support the continued evolution of the Firm's electronic billing operations.
Key Responsibilities
  • Promote and model the Firm's commitment to exceptional client service through professionalism, collaboration, and high-quality work.
  • Serve as a lead resource for the Firm's electronic billing platforms, including BillBlast and client eBilling vendor systems.
  • Establish, maintain, and continuously improve eBilling best practices to ensure compliance with client billing guidelines.
  • Partner with Client Account Managers and Client Account Specialists to facilitate successful electronic invoice submission and resolve billing issues.
  • Coordinate the submission and maintenance of timekeeper and rate information across client eBilling platforms.
  • Troubleshoot invoice rejections, identify root causes, and assist with timely corrections and resubmissions.
  • Monitor and provide coverage for the department's shared eBilling mailbox.
  • Oversee eBilling requirements associated with new matter openings.
  • Coordinate and deliver eBilling orientation and training for internal stakeholders.
  • Manage the onboarding and transition of clients to electronic billing platforms.
  • Prepare reports and monitor Firm-wide eBilling activity using BillBlast analytics and reporting tools.
  • Maintain accurate eBilling-related information within Aderant.
  • Provide advanced technical knowledge and guidance regarding electronic billing vendors, systems, and processes.
  • Assist with monthly billing cycle activities and provide overflow support as needed.
  • Communicate project status, priorities, timelines, and potential issues to appropriate stakeholders.
  • Identify opportunities to improve workflows, increase efficiency, and implement best practices.
  • Participate in departmental initiatives, special projects, and other responsibilities as assigned.
Qualification:
  • Bachelor's degree in Accounting, Finance, Business, or a related field preferred.
  • Minimum of three years of specialized electronic billing experience within a law firm or other professional services organization.
  • Demonstrated expertise working with multiple electronic billing vendor platforms.
  • Experience with BillBlast, Aderant, and ARCS preferred.
  • Proficiency with Microsoft Office Suite and other business software applications.
  • Strong analytical and problem-solving skills with the ability to identify issues and recommend practical solutions.
  • Ability to manage multiple priorities while maintaining exceptional attention to detail.
  • Excellent organizational, interpersonal, verbal, and written communication skills.
  • Demonstrated ability to work independently while collaborating effectively within a team environment.
  • Ability to exercise sound judgment and maintain confidentiality when handling sensitive information.
  • Strong client service orientation with the ability to build productive working relationships across all levels of the Firm.
  • Proven ability to adapt to changing priorities, support process improvements, and contribute to departmental initiatives.
