Job description

Job Title: Regulatory Associate – Ads, Labeling & Promos
Rate: ~$45/hr. (negotiable)
Location: Remote
Duration: 6 month (contract)
Position Summary
The Regulatory Associate – Advertising, Labeling & Promotions is responsible for supporting regulatory review and approval of product labeling, advertising, promotional materials, and external communications for a GMP-regulated company specializing in human milk-based nutritional products and medical nutrition. This role ensures that all product communications are scientifically accurate, appropriately substantiated, and compliant with applicable U.S. and international regulatory requirements.
Essential Responsibilities
  • Review and approve product labeling, packaging artwork, Instructions for Use (IFUs), promotional materials, sales aids, websites, digital content, educational materials, social media content, and other external communications.
  • Ensure advertising and promotional materials comply with applicable FDA regulations, FTC advertising standards, GMP requirements, and internal company policies.
  • Evaluate product claims for scientific accuracy and regulatory acceptability, ensuring all promotional statements are supported by appropriate clinical and scientific evidence.
  • Review nutrition, composition, ingredient, allergen, and product labeling to ensure regulatory compliance and consistency across product portfolios.
  • Provide regulatory guidance during development of new products, label revisions, packaging updates, and marketing campaigns.
  • Partner with Medical Affairs and Clinical teams to ensure promotional messaging accurately reflects clinical evidence and intended product use.
  • Participate in cross-functional product launch teams by providing regulatory input on commercialization strategies and product communications.
  • Maintain documentation supporting regulatory approvals, claim substantiation, labeling history, and promotional review records.
  • Monitor changes in applicable FDA regulations, guidance documents, industry standards, and enforcement trends affecting food, medical nutrition, and human milk-based products.
  • Assist in developing and updating internal procedures, review processes, and regulatory policies related to advertising, labeling, and promotional compliance.
  • Support internal and external audits by providing regulatory documentation and evidence of compliant review processes.
  • Respond to regulatory, customer, and commercial inquiries related to product labeling and promotional materials as needed.

Qualifications
  • Bachelor's degree in Food Science, Nutrition, Biology, Regulatory Affairs, Life Sciences, or a related scientific discipline.
  • 2–5 years of experience in Regulatory Affairs within the food, medical nutrition, infant nutrition, biologics, medical device, pharmaceutical, or related regulated healthcare industry.
  • Experience reviewing advertising, labeling, and promotional materials in a regulated environment.
  • Working knowledge of current Good Manufacturing Practices (cGMPs).
  • Familiarity with FDA food labeling requirements, advertising regulations, and promotional compliance.
  • Strong scientific literacy with the ability to interpret clinical literature and evaluate claim support.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple projects and competing priorities.

Preferred Qualifications
  • Experience supporting products intended for neonatal, pediatric, or hospital settings.
  • Familiarity with infant nutrition, human milk-based products, medical foods, or specialized nutritional products.
  • Knowledge of promotional review committee (PRC) processes.
  • Experience using electronic artwork approval or document management systems.
  • Understanding of international labeling requirements is a plus.
