The Legal Operations Administrator (“LOA”) serves an important and varied role in administering and optimizing use of technology tools in Litigation. The LOA assures that the organization meets best practices standards in litigation practice management.   

This is a non-supervisory position. The LOA is expected to work a full-time (37.5 hours/week) schedule, and may work hybrid from an Earthjustice office or remote in the contiguous U.S.  

What You'll Do

Legal Technology Administration and Process Improvement (30%) 

  • Administration of various legal systems including legal reporting tools (Litera Foundation), research tools (Law360, Westlaw Co-Counsel), multiple research compendiums and subscriptions.  
  • Assist with system evaluations, implementations, updates and integrations as the department's technological needs evolve.
  • Identify opportunities to streamline workflows, reduce manual effort, and improve data quality across legal systems. 

Stakeholder Collaboration and Training (30%) 

  • Collaborate with IT, Project Management Office, HR and other Operations teams to identify and sequence enterprise-wide initiatives that serve our Program Litigation team and data management. 
  • Curate a training program that includes creating and maintaining user guides, training materials, and standard operating procedures for legal operations tools and processes, and hosting tailored knowledge shares for Litigation Program personnel.
  • Create and monitor training metrics and feedback loops with Stakeholders. 

Reporting and Metrics (25%) 

  • Design and maintain dashboards and reports tracking defined metrics and points of interest for stakeholders.
  • Analyze usage trends and prepare periodic reports for legal leadership and program.
  • Develop and refine KPIs that measure operational performance, partner satisfaction, and internal service delivery. 

Budgeting and Invoice Management (15%) 

  • Support the annual legal department budgeting process by compiling historical data, modeling projections, and tracking actuals against plans.
  • Submit and allocate Legal Operations invoices. 

Ongoing Learning 

  • Actively pursue professional development and contribute to a culture of learning by building skills and sharing knowledge.
What You'll Bring
  • Bachelor’s Degree or equivalent level of education required.
  • 3-5 years of experience in legal operations, legal technology at a law firm or in-house legal department.
  • 3-5 years of experience administering various legal technologies.
  • Demonstrated ability to develop dashboards and working with large data sets from multiple sources.
  • Excellent root-cause analysis and creative problem-solving skills.
  • Demonstrated experience with Microsoft Power Platform applications and SharePoint.
  • Copilot Studio experience preferred.
  • Familiarity with Westlaw Advantage and Co-Counsel, Foundation, Intapp, Court Alert, Bryter or other matter management, workflow or docketing systems preferred.
  • Energetic self-starter with the ability to work independently as well as with a remote team across offices and time zones.
  • Excellent attention to detail, strong proofreading skills. 
  • Courteous, professional and helpful demeanor.
  • Effective multi-tasking skills and excellent verbal and written communication skills.

Salary & Benefits

We offer a competitive salary and excellent, comprehensive benefits. We also offer a casual and congenial work environment. 

Salaries at Earthjustice are determined by working location and are commensurate with the experience required. 

The annual salary range for this role in San Francisco, CA or New York, NY is  $119,000 - $132,200.
The annual salary range for this role in Washington, D.C., Chicago, IL, Seattle, WA, or Los Angeles, CA is $113,000 - $125,600.
The annual salary range for this role in Philadelphia, PA or Denver, CO is $107,100 - $119,000.
The annual salary range for this role in Miami, FL or Houston, TX is $101,200 - $112,400.
The remote salary range will be dependent on specific location, between $101,200 - $132,200.
