Databento is the market data platform for modern finance. The company provides real-time and historical data across futures, options, and equities through a unified API. By owning the entire market data stack end-to-end, Databento is the first platform of its kind to combine the performance and reliability demanded by the world's leading trading firms with a dramatically simpler developer experience. Our team includes alumni of Two Sigma, Citadel Securities, Flow Traders, Tower Research, PDT Partners, SIG, and other top quantitative firms.

We're looking for an Executive/Personal Assistant to support our  CTO, with occasional backup support for our Founder and CEO. The individual must be based in Salt Lake City for local tasks, however occasional remote or hybrid work arrangements may be possible. You'll have an outsized impact on the company's day-to-day operations and help keep our leadership running at full speed.

Responsibilities

You'll provide high-leverage administrative and operational support to our executive team. This includes the following: 

  • Handle personal and professional errands, vendor coordination, and quality-of-life tasks that allow  CTO to stay focused on high-priority work
  • Coordinate travel arrangements - flights, hotels, ground transportation, and itineraries - for both executives and occasional team travel, including larger offsites
  • Own calendar management, including scheduling internal meetings, external calls, and resolving conflicts across time zones
  • Process, sort, and manage physical and digital mail; flag action items and ensure timely responses
  • Maintain and organize files, correspondence, and records on behalf of both executives
  • Serve as the point of contact for office logistics, including supply management and any SLC-based operational needs
  • Prepare expense reports, track reimbursements, and liaise with our finance function as needed
  • Identify opportunities to streamline workflows and proactively implement quality-of-life improvements for leadership
  • Handle sensitive and confidential information with the utmost discretion at all times

Requirements

  • Based in Salt Lake City, UT 
  • College degree or a minimum of three years of professional experience
  • Proven experience as an executive assistant, personal assistant, a similar administrative support role, or any service-oriented position
  • Exceptional organizational skills and the ability to manage multiple priorities simultaneously without dropping the ball
  • Strong written and verbal communication skills; able to represent leadership professionally in correspondence
  • High degree of discretion and judgment when handling confidential or sensitive information
  • Proactive problem-solver who anticipates needs and takes initiative without being asked
  • Comfortable operating in a fast-moving startup environment where priorities can shift quickly
  • Proficiency with standard productivity tools (Google Workspace, Slack, calendar software, etc.)
  • A valid driver's license with a clean driving record to support local travel

Nice to Have

  • Familiarity with financial services, fintech, or tech companies
  • Experience booking complex, multi-leg international travel itineraries
  • Experience with expense management tools (e.g., Brex, Ramp, or similar)
