Position Type: Full-Time, Non-Exempt
Pay Range: $18.00–$22.00/hour
Reports To: Director of Operations 

Position Summary

The Operations Coordinator provides administrative and operational support to the Rehab Division, with a primary focus on provider scheduling and schedule management across 30+ active schedules.

This position requires exceptional organization, attention to detail, analytical thinking, and the ability to manage multiple priorities in a fast-paced healthcare environment. The Operations Coordinator works closely with providers, operational leadership, and other internal teams to maintain accurate schedules, identify and resolve scheduling conflicts, support provider onboarding, and ensure day-to-day operational needs are addressed efficiently.

This is a fully remote position requiring a reliable internet connection and a private, professional workspace.

Key Responsibilities

  • Manage and maintain 30+ provider schedules within the Rehab Division, ensuring accuracy and appropriate coverage.
  • Coordinate provider scheduling changes, availability, time off, and coverage needs.
  • Proactively identify scheduling conflicts, gaps, and potential coverage concerns and communicate them to appropriate leadership.
  • Analyze schedules and operational information to identify trends, inconsistencies, and opportunities for improved efficiency.
  • Maintain accurate provider and facility scheduling information within applicable systems.
  • Support the onboarding and scheduling of new providers.
  • Communicate regularly with providers, operational leadership, facilities, and internal departments regarding scheduling and operational needs.
  • Assist with patient care coordination and other operational workflows as needed.
  • Perform data entry, tracking, reporting, and maintenance of operational information.
  • Assist with quality improvement initiatives and special projects.
  • Coordinate meetings and provide general administrative support to operational leadership.
  • Maintain confidentiality and comply with HIPAA and company policies.
  • Perform other related duties as assigned.

Qualifications

  • High school diploma or equivalent required; associate's or bachelor's degree in Healthcare Administration, Business Administration, or related field preferred.
  • 2+ years of healthcare, scheduling, operations, or administrative experience preferred.
  • Experience managing multiple complex schedules simultaneously strongly preferred.
  • Strong proficiency with Microsoft Excel, Outlook, and other computer-based systems.
  • Strong analytical and problem-solving abilities.
  • Excellent organizational skills with the ability to prioritize and manage a high volume of responsibilities.
  • Exceptional attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Ability to work independently and remain productive in a fully remote environment.
  • Healthcare terminology and provider scheduling experience preferred.
