Full-Time | Monday - Friday | 8:00 AM - 5:00 PM | Fully Remote

This position is limited to candidates who currently reside in Tulsa, OK. Candidates outside the Tulsa area will not be considered.

About the Opportunity

CareATC is seeking an experienced Referral Coordinator to support the coordination, processing, authorization, and scheduling of patient referrals across multiple clinics and providers within our Tulsa market.

This role serves as a key resource for patients, providers, clinic teams, and referral partners, ensuring referrals are processed accurately, efficiently, and with a high level of customer service. In addition to day-to-day referral management, the Referral Coordinator supports onboarding and training of team members, process improvement initiatives, and departmental projects that help drive operational excellence across the referral program.

What You'll Do

  • Coordinate and process referrals for specialty care, procedures, diagnostic testing, and other medical services

  • Monitor referral requests and manage referral workflows within eClinicalWorks (eCW)

  • Verify insurance requirements, network participation, and authorization needs

  • Obtain and document referral authorizations and required approvals

  • Schedule appointments and procedures with specialists, facilities, and healthcare partners as needed

  • Utilize third-party payer and healthcare partner portals to coordinate services

  • Maintain accurate and timely referral documentation within eCW

  • Collaborate with Providers, Medical Assistants, Schedulers, Clinic Managers, and external partners to ensure seamless patient care coordination

  • Assist with onboarding and training of Referral Coordinators

  • Support workflow enhancements, reporting, and assigned projects

  • Review and follow up on outstanding referrals to ensure timely completion and resolution

  • Maintain HIPAA compliance and patient confidentiality at all times

What You'll Bring

  • High School Diploma or equivalent required

  • Medical Assistant certification preferred

  • One year of Medical Assistant experience in a clinic setting, or one to two years of experience in medical scheduling, referrals, registration, or billing

  • Knowledge of insurance authorization processes, referral management, and healthcare operations

  • General understanding of CPT and ICD-10 coding preferred

  • Experience working within an electronic medical record system; eClinicalWorks (eCW) experience preferred

  • Must currently reside in Tulsa, OK

  • Strong organizational skills with exceptional attention to detail and accuracy

  • Ability to prioritize multiple responsibilities in a fast-paced environment

  • Excellent written and verbal communication skills

  • Ability to work independently while collaborating effectively across teams
