Job Description
Summary:
Yorktown Systems Group, Inc. (YSG) / The Unconventional (TU) is seeking a highly qualified Digital Integration & Training Registrar to provide comprehensive Warfighter Training Support Services at the United States Air Force Academy (USAFA). The purpose of this position is to support Department of Defense training, enterprise application, learner-records, and data-management requirements, as well as support the planning, development, execution, management, and evaluation of military training for approximately 4,200 cadets annually during both the academic year and summer training programs. This position will assist the USAFA in delivering a coherent, progressive, and operationally relevant 47-month cumulative military training continuum aligned with Department of the Air Force (DAF) readiness objectives, Joint Force expectations, and USAFA cadet development outcomes.
The Registrar will administer and improve TUTOR/Moodle and related enterprise systems by managing learner enrollment, course records, schedules, attendance, learner dashboards. The position will coordinate with Government stakeholders, training managers, instructors, instructional systems designers, evaluators, and TU technical personnel to maintain accurate records, and provide recommendations on improving program visibility in support effective training delivery and evaluations.
Work may be performed on-site, remotely, or through a hybrid arrangement based on mission, access, and Government requirements.
Specific duties may include, but are not limited to:
  • Support an enterprise Learning Management Systems by accounts creation, designating roles and permissions and support troubleshooting efforts with help desk
  • Perform registrar functions for assigned training programs, including learner enrollment, registration, course assignments, schedule changes, withdrawals, transfers, and completions.
  • Maintain accurate learner profiles, rosters, attendance records, grades, assessments, certificates, and official training records.
  • Coordinate and collaborate with Program Manager on course schedules, instructor assignments, learner groupings, prerequisites, enrollment capacity, and training calendars.
  • Review registration and training records for accuracy, completeness, duplication, eligibility, and compliance with program requirements.
  • Process and document approved changes to learner status, training plans, course assignments, and completion records.
  • Respond to learner, instructor, program-manager, and Government inquiries concerning enrollment, schedules, records, completion status, and system access.
  • Collaborate with PM to ensure enterprise application workflows support structured and longitudinal capture of training, assessment, attendance, completion, and performance data.
  • Support the collection and synchronize data from supported organizations, training teams, instructors, evaluators, and authorized source systems.
  • Reconcile discrepancies among LMS records, schedules, attendance reports, assessment results, and source documentation.
  • Maintain databases and support data-governance, quality-control, access-control, privacy, records-management, and audit-readiness requirements.
  • Develop rosters, completion reports, dashboards, presentations, data exports, and other decision-support products.
  • Track enrollment, participation, attendance, utilization, completion, and other program-performance measures.
  • Coordinate with instructional systems design, evaluation, training, and technical teams to align curriculum, assessments, course catalogs, data fields, dashboards, and reporting requirements.
  • Draft and revise reports, standard operating procedures, registrar processes, user guides, and senior-leader briefings.
  • Provide user assistance and coordinate advanced system or data issues with TU technical reach-back personnel.
  • Perform other related duties as assigned in support of contract and mission requirements.

Job Requirements
Required Qualifications:
  • Five or more years of relevant experience in registrar operations, LMS administration, enterprise application support, training management, student services, or records administration.
  • Experience managing learner enrollment, registration, schedules, rosters, attendance, grades, completions, or official training records.
  • Experience administering or supporting Moodle or another LMS, including accounts, permissions, course configuration, reporting, exports, usability, and troubleshooting.
  • Experience collecting, validating, maintaining, reconciling, and reporting data from multiple systems or organizations.
  • Proficiency with Microsoft Excel, Word, PowerPoint, Teams, Outlook, and SharePoint.
  • Ability to develop reports, dashboards, rosters, briefings, and executive-level decision-support products.
  • Strong written communication, customer service, organizational, analytical, and problem-solving skills.
  • Ability to protect sensitive learner and personnel information and maintain accurate, auditable records.
  • Ability to work independently and collaborate effectively with Government, military, instructional, administrative, and technical personnel.

Desired Qualifications:
  • Experience serving in a registrar, student-services, academic-coordination, training-management, or records-administration role.
  • Experience with Microsoft 365 and collaboration tools
  • LMS administration, instructional technology, registrar, records-management, or information technology certification.
  • Experience supporting professional military education, or other Department of Defense training organizations.
  • Familiarity with DoD cybersecurity, information assurance, privacy, records-management, and audit requirements.
