Job Description

We are seeking an experienced, highly organized administrator to join our team in an exciting opportunity. The objective of this position is to champion Lafayette’s culture while supporting all administrative processes within the Estimating Pipeline. The ideal candidate is a proactive communicator and critical thinker who can drive engagement across internal and external teams while ensuring organized, accurate, and timely documentation throughout every stage of the opportunity lifecycle.

Responsibilities:

Estimating Coordination:

  • Review Estimating email inbox for new and revised RFP/RFQ’s
  • Respond to Clients RFP (request for proposals), inclusive of bid decisions, initial queries and related communication
  • Record bid opportunities within CRS (Acumatica) and coordinate with Director of Preconstruction for follow-up actions.
  • Manage data within Acumatica to facilitate company-wide understanding of pipeline, such as critical dates, project schedule, contacts, and related bid opportunity information
  • Manage client portals to ensure thorough communication with clients via their preferred platform (Ex. BuildingConnected, Procore, etc.)
  • Ensure RFP information provided by client is organized and saved to the server. Continually manage process as new bid documents are issued throughout bid lifecycle.
  • Assist Estimators with the administrative elements of bid preparation; including but not limited to completing bid package forms, obtaining, and coordinating with other departments for necessary information (Ex. Diversity forms)
  • Receive phone calls related to estimating efforts
  • Coordinate prequalification requests with Accounting
  • Maintain Client / Vendor Contact data within Acumatica for New Construction Division

Administer Awarded Projects:

  • Manage award project checklist and coordinate to obtain all necessary information amongst departments, as guided by estimator
  • Setup new projects in Acumatica
  • Create project folders on server, assist estimator as required to populate ahead of kickoff
  • Distribute LMG project directory to client team upon award
  • Administer all project documentation and system updates for projects from award to kickoff
  • Route contract documentation for team review and final signature
  • Coordinate and prepare documentation required for project completion & close out

Requirements:

  • 3-5+ years working in a similar role at a fast paced and tech savvy commercial construction company, ideally a subcontractor
  • Excellent communicator, both written and verbally
  • Strong organizational skills. Ability to multitask with frequent pivoting, while maintaining priorities and deadlines.
  • Self-Starter, with the ability to articulate questions or concerns promptly
  • Experience with bid portals such as BuildingConnected, Procore and similar, along with associated bid processes
  • Experience with Microsoft Office Suite, focused on Word and Excel, PDF readers (Adobe, Bluebeam or similar), Gmail, Google Drive applications, and calendar management, both for oneself and supporting team members.
