Description

Position Purpose and Objectives:

The Payroll/Benefit Specialist processes and transmits payroll timely, efficiently, and accurately. The Payroll/Benefit Specialist will maintain hierarchal reporting, employee data, and security access for HRIS, payroll, benefits and time management. This position will be the subject matter expert to provide recommendations to the team and management on operating efficiencies, improved technology, audits and controls, legal/compliance issues, and best practices.


Major Duties and Essential Functions:

  • Completes any other job- related duties needed that reinforce Texans Credit Union's EPIC values, traits, and behaviors. 
  • Payroll Processing - key data entry for payroll, input payroll adjustments, process monthly and quarterly incentives and other variable pay, coordinate timesheet and exception approvals with supervisors, export data from time management system.
  • Process all regular bi-weekly and off-cycle payrolls. Works to reconcile quarterly and annual tax filings to submit to tax representative and Texans Credit Union accounting department.
  • Reporting - generate payroll reports for various departments of the company and third-party vendors; calculate deposits and reports for 401k and Pension plan, prepare management payroll audit reports. Produce other scheduled and ad hoc reports as needed. 
  • System Integrity - maintain data accuracy of  HR Management/Information System, Time Management System by updating information. Assist with system needs evaluation, systems upgrades, and new implementations. Perform audits to verify integrity of data. Perform regularly scheduled system backups and utilities. Performs routine assignments and audits related to security access for HRIS systems.
  • Benefit Administration - Serve as the point of contact regarding new hire enrollment for benefit plans, verify enrollments, and enter all benefit deductions into the payroll system and reconciling monthly benefit invoices. Serves as point of contact for short term disability claims and  follow up to compensation benefits in conjunction with taxable wages from third party vendors. Serves a point of contact to benefit vendors in relation to enrollment and coverage status updates. 
  • Compensation - Maintains compensation records and salary grades in accordance to Texans Credit Union compensation program. 
  • File Maintenance - maintain all employee personnel files. Create and update other HR files as necessary. Conduct periodic audits of employee records to ensure all required documents are accounted for. Manage onsite and off-site records according to record retention policy. Review and revise record retention needs with changes to legislation and legal requirements. Maintain precise records of FMLA hours of employees on leave of absence, ensuring compliance with federal and internal policies. Track and update Volunteer Time Off (VTO) usage across departments. Monitor and maintain Remote Work Flex Level data, ensuring alignment with current employee work arrangements.
  • Operating Efficiency - proactively seek opportunities to improve payroll, HRIS and Benefit operations through process improvements, use of different technologies, or through improved coaching/training/education of team members and managers; Identify gaps in existing processes/practices making recommendations on better audits and controls. Be resourceful and proactive in identifying changes in legislation, best practices or technologies through active participation in associations, use of online resources; attend webinars for improvement of processes and ongoing updates in the payroll system, networking and/or literature. 
  • General Employee Inquiries - provide superior customer service to employees by addressing questions and concerns  regarding payroll, employment, benefits, and general HR inquiries within department SLAs
  • Cross Train with other HR functions- employee will be cross trained to address other HR functions, benefits, compensation, and leave of absences 

Requirements

  Education and Experience:

A minimum of a High School Diploma/GED

3+ years of prior payroll and benefits experience. 

Extensive payroll training and/or certification preferred.

Experience in Paylocity system preferred.

Advanced Excel knowledge including pivot tables preferred.
