Job description

The Department of Health Information Management at the University of Iowa Health Care is seeking a full-time, Support Services Specialist.  This position will be responsible for completing Health Information Management (HIM) responsibilities of scanning and importing protected health information (PHI) into the electronic medical record to include creation or update of Referrals and communicating with clinical departments. Transport of medical records items between Medical Center University (MCU), Iowa River Landing (IRL), and Medical Center North Liberty (MCNL).  Contributes to the mission and success of HIM and University of Iowa (UI) Health Care by contributing to optimal patient care.

Key Areas of Responsibilities:

         Review, organize and upload outside facility medical record documents received via inbound fax according to HIM guidelines

         Create or update Referrals in Epic when appropriate

         Send notification of record upload according to clinical department specific guidelines

         Communicate and follow up with clinical departments and providers regarding outside facility medical record documentation

         Process UI CareLink Epic InBasket messages which contain outside facility medical records

         QA uploaded records to ensure they are for correct patient, correct document type, and readable

         Performs other projects and tasks as assigned

This position is eligible to participate in remote work and applicants who wish to work remotely will be considered.  Training will be held either on-site or virtually from the Hospital Support Services building at a length determined by the supervisor.  Remote eligibility will be evaluated upon satisfactory training.  Per policy, work arrangements will be reviewed annually, and must comply with the remote work program and related policies and employee travel policy when working at a remote location.

Required Qualifications:

  • One year customer service experience

  • Medical terminology knowledge and experience

  • Knowledge and proficiency with computer applications, i.e. Microsoft Office Suite, Teams, Zoom

  • Excellent verbal and written communication skills

  • Must have a valid Driver's License

  • Must have ability to drive a University of Iowa (UI) motor vehicle and meet UI Fleet Safety regulations

Desired Qualifications:

  • Three or more years of working with medical records and health information

  • Three or more years of customer service experience

  • Knowledge of UI Health Care medical record and health information functions

  • Knowledge and experience with Epic Clinical Documentation system

  • Knowledge and use of Epic Medical Records tracking system

  • Knowledge of UI Health Care policies and procedures

  • Certification as RHIT or RHIA
