Role Overview

The Program & Project Coordinator supports enterprise initiatives by coordinating project activities, maintaining visibility into implementations and operational programs, and ensuring initiatives progress efficiently from planning through delivery.

While this is a remote position, the role supports a team based in California and requires Pacific time zone hours and occasional travel for planning sessions, team collaboration, and key initiatives.

This role works cross-functionally with Mortgage Technology, Operations, Finance, Compliance, Marketing, Analytics, and external vendors to support system implementations, integrations, and strategic initiatives. The position plays a key part in ensuring projects move forward efficiently by maintaining visibility into plans, tracking deliverables, supporting executive reporting, and providing operational and coordination support to the SVP, Programs & Enterprise Operations.


Key Responsibilities

Project & Implementation Coordination

  • Support coordination of enterprise initiatives including system implementations, integrations, and vendor-related projects
  • Maintain and track project plans, timelines, milestones, and deliverables across multiple initiatives
  • Follow up with stakeholders to ensure tasks are progressing and deadlines are met
  • Identify, track, and escalate risks, delays, and dependencies

Program Tracking & Visibility

  • Maintain centralized dashboards and tracking tools (e.g., Smartsheet, JIRA, or similar)
  • Ensure accurate, real-time visibility into project status, priorities, and resource alignment
  • Support organization and prioritization of initiatives across departments
  • Ensure consistency and integrity of data across reporting tools

Reporting & Executive Support

  • Partner closely with the SVP, Programs & Enterprise Operations to support strategic priorities, operational coordination, and execution of key initiatives
  • Develop and maintain reports and dashboards using Excel, Power BI, Smartsheet, and JIRA
  • Compile status updates, summaries, and performance metrics for leadership
  • Assist in preparation of executive presentations, board materials, and operational reporting
  • Translate project data into clear, concise insights for leadership audiences

Communication & Cadence Management

  • Establish and maintain communication cadence including status reporting, stakeholder updates, and leadership reporting cycles
  • Coordinate and facilitate project meetings; document notes, decisions, and action items
  • Ensure consistent follow-through on action items and next steps
  • Maintain alignment and communication across cross-functional teams

Cross-Department & Vendor Coordination

  • Serve as a coordination point between business teams, Mortgage Technology, Analytics, and vendors
  • Support vendor implementations and track deliverables against internal timelines
  • Ensure alignment between vendor activities and enterprise project plans
  • Organize and maintain documentation related to projects and vendor initiatives

Operational & Strategic Support

  • Provide ad hoc support to the SVP, Programs & Enterprise Operations on strategic initiatives and operational priorities
  • Assist with special projects and evolving business needs
  • Support continuous improvement of project tracking, reporting, and communication processes

Preferred Experience

  • Experience in financial services, mortgage, fintech, or regulated industries
  • Exposure to system implementations, integrations, or enterprise programs
  • Experience supporting executive reporting, dashboards, or board materials
