Job description

The Clinical Manager plays a key role in supporting the day-to-day operations of the clinical department within an outpatient mental health practice. Reporting directly to the Clinical Director, this position works collaboratively with clinical staff to ensure efficient scheduling, provider onboarding, credentialing, payroll accuracy, and overall operational support. The Clinical Manager serves as a central point of coordination, helping clinicians focus on providing high-quality patient care while maintaining smooth clinical operations.


Essential Responsibilities

    • Partner with the Clinical Director to support the operational needs of the clinical department.
    • Develop and manage clinician schedules to maximize efficiency and client access.
    • Maintain and monitor the client waiting list, coordinating timely scheduling and placement with appropriate clinicians.
    • Coordinate onboarding for newly hired clinicians, ensuring completion of required documentation, training, and system access.
    • Manage the clinician credentialing process with commercial insurance panels, including initial applications, re-credentialing, and follow-up.
    • Verify clinician payroll hours and collaborate with payroll staff to ensure accurate and timely compensation.
    • Serve as a resource for clinicians regarding administrative processes, scheduling, and operational procedures.
    • Assist with maintaining compliance with organizational policies, credentialing requirements, and documentation standards.
    • Support the performance management process for clinical staff, including tracking performance concerns, coordinating performance evaluations, documenting corrective actions, and assisting the Clinical Director with performance improvement plans as needed.
    • Identify workflow improvements that enhance efficiency and support quality patient care.
    • Perform other administrative and operational duties as assigned by the Clinical Director.


Qualifications

  • Minimum of 2 years of experience supervising or managing employees, including coaching, performance management, accountability, and team development.
  • Administrative experience, preferably in a healthcare or behavioral health setting.
  • Bachelor's degree preferred.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Demonstrated experience leading administrative workflows, coordinating multiple priorities, and improving operational efficiency.
  • Experience managing complex schedules, coordinating projects, and balancing competing deadlines with strong attention to detail.
  • Excellent organizational, written, verbal, and interpersonal communication skills.
  • Demonstrated ability to exercise sound judgment, maintain confidentiality, and solve problems independently.
  • Strong computer proficiency, including Microsoft Office or Google Workspace, and the ability to quickly learn electronic health record (EHR) systems and other software platforms.
