What is a remote executive assistant?

A Remote Executive Assistant is a professional who provides administrative and organizational support to executives or high-level managers from a remote location, rather than working on-site in an office. Their tasks often include managing schedules, handling correspondence, making travel arrangements, organizing meetings, and assisting with various projects. By working remotely, they leverage technology to communicate and collaborate effectively with executives and teams. This role requires strong organizational skills, discretion, and the ability to work independently. Remote Executive Assistants help executives save time and operate more efficiently, regardless of geographical location.

What does a remote executive assistant do?

As a remote executive assistant, your responsibilities are to assist an executive with a variety of administrative tasks, such as maintaining a schedule of meetings, booking travel, and completing various forms of paperwork. Because you are a remote executive assistant, you fulfill most of your duties online over the computer or through a virtual help platform. These abilities are vital for efficiently managing executive workloads and maintaining smooth operations in a remote setting.

How do remote executive assistants effectively manage communication and priorities for multiple executives across different time zones?

Remote Executive Assistants often support executives who are located in different regions, which requires strong organizational skills and proactive communication. They typically use shared calendars, project management tools, and regular check-ins to stay aligned with each executive’s priorities and schedules. Coordinating across time zones can be challenging, but setting clear expectations, establishing preferred communication channels, and utilizing scheduling tools helps ensure nothing falls through the cracks. Flexibility and the ability to anticipate needs are key to thriving in this dynamic environment.

    • Hunt and Close New Accounts: Proactively prospect, qualify, and penetrate new BioPharma accounts while managing a high-velocity sales funnel from initial discovery to close.
    • Align Scientific & Commercial Needs: Uncover and synthesize both the scientific project goals and the business objectives of customers to craft winning commercial proposals.
    • Deliver Compelling Presentations: Apply comprehensive product and application knowledge across the genetic analysis portfolio to lead highly effective, technically rigorous sales presentations.
  • Technical Consultancy & Market Strategy
    • Act as a Trusted Technical Advisor: Leverage deep technical credibility in Single Cell Transcriptomics, Spatial Transcriptomics, and NGS to consult with customers on optimal technology solutions and workflows.
    • Maintain Competitive Mastery: Continuously deepen your understanding of genetic analysis markets, competitor offerings, and customer buying practices to effectively position solutions.
  • Territory Planning & Sales Operations
    • Execute Strategic Business Plans: Develop and manage a comprehensive territory business plan designed to consistently meet or exceed quarterly and annual revenue goals.
    • Drive Rigorous Territory Planning: Utilize deep market knowledge and territory segmentation to uncover untapped growth opportunities.
    • Manage Pipeline & Forecasting: Consistently track sales activities, forecast revenue accurately, and maintain pipeline integrity using the CRM and other designated IT tools.
  • Customer Excellence & Corporate Stewardship
    • Champion Customer Satisfaction: Foster long-term customer satisfaction and loyalty through responsive follow-up, consultative problem-solving, and exceptional service.
    • Support Team Growth: Assist in the identification, recruitment, and onboarding of new sales talent as the commercial team expands.
    • Uphold Professional Standards: Represent the company professionally, ethically, and with the highest level of integrity in all customer and market interactions.

Territory will be the mid-Atlantic region of the United States.

Minimum Qualifications:

  • Education: Bachelor's degree in Biology, Molecular Biology, Biochemistry, or a related scientific field (or equivalent specialized knowledge and experience).
  • Sales Experience: 1-2+ years of commercial, inside sales, or field-based experience in the Life Sciences industry. (High-performing early-career professionals with a strong track record of prospecting are strongly encouraged to apply).
  • Drive & Coachability: An aggressive, proactive approach to opening new accounts, coupled with a strong desire to learn, adapt, and be coached in consultative selling methodologies.
  • Technical Foundation: Basic familiarity with genomics technologies, specifically Single Cell Transcriptomics, Spatial Transcriptomics, and/or Next Generation Sequencing (NGS), and an eagerness to master the science.
  • Travel Readiness: Willingness and ability to travel frequently across the Mid-Atlantic territory to engage customers in the field.

Preferred Skills:

  • Target Market Exposure: Experience prospecting into or working with Pharma, Biotech, and TechBio organizations.
  • The "Hunter" Track Record: Proven ability to build a sales pipeline from scratch (via cold outreach, networking, and creative prospecting), whether in a field or inside-sales capacity.
  • Advanced Scientific Landscape: General awareness of AI and foundational models in biology, including how Single Cell and Spatial Transcriptomics serve as the essential data layer for computational drug discovery.
