Executive Assistant

Children and Screens is a leading nonprofit organization dedicated to helping children lead healthy lives in a digital world. We advance and translate interdisciplinary research on the impact of digital media on child development and use that knowledge to educate and empower parents, educators, healthcare professionals, policymakers, and the public.

As we continue to grow, we’re seeking a highly organized and proactive Executive Assistant to provide administrative and operational support to our Executive Director.

Position Overview

The Executive Assistant serves as a trusted partner to the Executive Director, ensuring the efficient management of priorities, communications, scheduling, and organizational operations. This individual will act as a central point of coordination between the Executive Director, staff, Board members, advisors, funders, and external partners.

The ideal candidate is organized, detail-oriented, resourceful, and comfortable managing multiple priorities in a fast-paced, mission-driven environment.

Key Responsibilities

Executive Support and Calendar Management

  • Manage the Executive Director's complex calendar, including scheduling internal and external meetings, speaking engagements, travel, and strategic priorities.
  • Coordinate meeting logistics (preparing agendas, briefing materials, notes) across time zones and stakeholder groups for external meetings.
  • Prepare daily and weekly schedules, briefing materials, and meeting agendas.
  • Track key deadlines, follow-up items, and commitments on behalf of the Executive Director.

Communications and Relationship Management

  • Monitor and manage the Executive Director’s inbox, helping prioritize, draft, and route communications as appropriate.
  • Draft, proofread, and edit correspondence and other executive communications.
  • Serve as a liaison between the Executive Director and internal/external stakeholders, ensuring timely and professional follow-up.
  • Handle confidential and sensitive information with discretion and professionalism.

Board and Leadership Support

  • Assist with Board of Directors and committee meeting logistics, including scheduling, materials preparing, and follow-up communications.
  • Coordinate preparation and distribution of board materials and reports. .
  • Support board member communications and engagement activities.

Travel and Event Coordination

  • Coordinate domestic and international travel arrangements for Executive Director
  • Manage registrations, accommodations, transportation, and related logistics.
  • Support planning and coordination for speaking engagements, conferences, donor meetings, and other special events.

Qualifications

Required

  • 2+ years of experience supporting senior executives, nonprofit leaders, or corporate leaders.
  • Bachelor's degree or equivalent professional experience.
  • Exceptional organizational, project management, and time-management skills.
  • Outstanding written and verbal communication abilities.
  • Demonstrated ability to manage multiple priorities with accuracy and attention to detail
  • Strong judgement, professionalism, and discretion in handling confidential information.
  • Experience coordinating complex calendars and competing priorities.
  • Proficiency with Google Workspace, Slack, and Zoom.

Preferred

  • Experience supporting a nonprofit executive director, CEO, or senior leadership team.
  • Familiarity with Board governance and Board meeting support.
  • Experience with donor, foundation, or stakeholder relations.
  • Basic understanding of nonprofit financial and administrative operations.

Compensation and Benefits

  • $60K - $66K commensurate with experience
  • Health stipend at 90 days
