Executive Assistant to the CMO

The Executive Assistant to the CMO will provide high-level administrative and strategic support to the Chief Marketing Officer, serving as a trusted partner in managing daily operations, communications, and priorities. This role requires exceptional organizational skills, discretion, and the ability to anticipate needs in a fast-paced, high-growth environment. The Executive Assistant will collaborate closely with the Marketing leadership team, cross-functional stakeholders, and external partners to ensure the CMO's time and priorities are optimized for maximum impact.

Essential Job Duties & Responsibilities

  • Manage the CMO's complex calendar, scheduling and prioritizing meetings, travel, and events across multiple time zones and stakeholders.
  • Serve as the primary point of contact between the CMO and internal teams (Marketing, Sales, Product, Business Development) and external partners, vendors, and executives.
  • Prepare, edit, and proofread correspondence, presentations, reports, and briefing materials for internal and external meetings.
  • Coordinate logistics for marketing team meetings, offsites, and executive-level events, including agenda preparation and follow-up action items.
  • Manage expense reports, budget tracking, and invoice processing for the CMO's office.
  • Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Track and follow up on key deliverables, deadlines, and priorities on behalf of the CMO to ensure timely execution.
  • Coordinate travel arrangements, including flights, accommodations, and detailed itineraries for domestic and international trips.
  • Partner with other Executive Assistants and administrative staff to ensure seamless coordination across the executive team.
  • Anticipate the needs of the CMO and proactively resolve scheduling conflicts, logistical issues, and administrative bottlenecks.

Required Skills, Knowledge & Abilities

Minimum 3–5 years of experience:

  • Providing executive-level administrative support, ideally to a C-suite or senior marketing executive, within fintech, technology, SaaS, financial services, renewable energy, or home improvement industries.
  • Managing complex calendars, travel logistics, and cross-functional communication for senior leadership.
  • Proficiency with Microsoft Office/Google Workspace, calendar management tools, and expense/budget tracking software.
  • Excellent written and verbal communication skills with the ability to represent the CMO professionally in internal and external interactions.
  • Strong organizational skills with exceptional attention to detail and the ability to manage multiple competing priorities.
  • High degree of discretion, judgment, and integrity when handling confidential and sensitive information.
  • Proactive problem solver who thrives in a collaborative, fast-paced environment.
  • Polished, professional demeanor with strong interpersonal skills across all levels of the organization
