Position Summary and Objectives:
The Field Installation Team Coordinator is responsible for developing and optimizing weekly installation schedules that maximize workforce efficiency and ensure customer commitments are met. This role acts as the central workforce planning hub for the medical equipment installations teams and the objective is to align installer availability, qualifications and locations with customer installation timelines to maximize daily field productivity.
Essential Position Functions:
  • Develop, optimize, and publish weekly work schedules for all field installation teams.
  • Analyze and verify installer availability, qualifications, and geographic location to optimize weekly job completion rates.
  • Assign installation teams based on OEM certifications and geographic location.
  • Optimize travel and route efficiency where practical.
  • Balance installers travel across multiple states or regions.
  • Coordinate installation timing with equipment delivery, rigging, and site readiness.
  • Assign crew vehicles and other resources.
  • Independently monitor schedule changes, and update stakeholders.
  • Identify and resolve scheduling conflicts, coverage gaps, last-minute changes, and rebalance schedules.
  • Communicate work assignment details, schedule updates, and project changes to the operations administrative team.
  • Contact installation teams to dispatch and confirm work assignments.
  • Serve as primary planning contact for installation team scheduling and communicate current updates.
  • Escalate scheduling conflicts and resource shortages without delay.
  • Handle basic resource planning such as rental car reservations, cancellations, and communication to the installation teams.
  • Resolve schedule overlapping, installer absences, and urgent customer re-scheduling requests without delay.
  • Update the internal dispatch system with accurate job status and relevant notes.
  • Embrace company values and work with other team members to accomplish company goals.
  • Maintain highest level of confidentiality of all company, personnel, and business interaction matters.
  • Compliance with applicable business processes and all quality and EHS plans.
  • May be required to perform other duties as necessary.

Competency Requirements:
  • Minimum 2-3 years in field dispatch, logistics coordination, workforce planning, or other relevant experiences.
  • Proficiency with dispatch platforms or other workforce management tools and software.
  • Strong analytical skills with the ability to collect, organize, evaluate, and display data.
  • Geographic planning, workload balancing, and workforce utilization experience.
  • Proficiency in Excel, data visualization tools, ERPs, and other operational systems.
  • Exceptional verbal and written communication skills for managing remote workforce schedules.
  • Ability to make quick, logical decisions under tight time constraints.
  • Strong multi-tasking skills with extreme attention to logistical details.
  • Precision work with a strong ability to maintain attention to details.
  • Stress tolerance and adaptability to a fast-paced environment.
  • Collaborative mindset with the ability to communicate effectively with a diverse group of team members, leadership, and other entities.

General Equipment/Machines Used:
Standard office equipment (i.e. computer, laptop, smartphone, telephone, copy machine, printer) and other general office equipment and materials.
Physical Demands:
Physical conditions commensurate with the duties of the position and include working in an open, shared work layout. Moving inside the office and production areas, sitting for prolonged periods of time, and operating a computer and other communications equipment is necessary on a regular basis. Regular interaction with others via phone, personal contact, and other modes of communication is required. Generally subject to indoor environmental conditions including, but not limited to, lighting, temperature, and noise typical for an open floorplan office. Regular times of fast-paced and challenging workloads, incl. elevated stress levels that are typical in a business operations environment are customary in this position. Mental demands include handling several requests and situations at the same time and require a high level of concentration.
Working Conditions:
Work can be performed onsite, hybrid, or fully remote, with some flexibility at the discretion of the management team. Days and work hours are normally Monday through Friday from the morning to early evening hours. Availability outside of customary business hours, incl. on-call hours or weekend coverage is customary to assist with operational needs or unforeseen changes. Occasional travel for meetings and training purposes may be required via ground or air transportation.
