Job Title: Event Coordinator

Location: Hybrid – Downtown Chicago (Tuesday, Wednesday, Thursday in-office; Monday and Friday remote)

Industry: Association Management

Compensation: $56,000 – $60,000 annually, plus eligibility for an annual discretionary bonus

Work Schedule: Full-time, 40 hours per week; flexible start times between 8:00 AM–4:00 PM or 9:00 AM–5:00 PM

Job Description:

The Operations Coordinator serves as the primary liaison for assigned regional communities and supports volunteer leaders to ensure the successful delivery of in-person events across North America.

This role blends event planning, stakeholder engagement, project coordination, and data analysis to create exceptional member experiences. The ideal candidate is highly organized, service-oriented, and comfortable managing multiple priorities while collaborating across teams.

 

Key Responsibilities:

  • Coordinate and execute approximately 30 in-person events annually, ensuring seamless delivery and alignment with organizational objectives.
  • Partner with volunteer leaders and internal teams to develop engaging educational programs and event agendas.
  • Collaborate with marketing teams to increase participation through targeted outreach strategies and creative engagement initiatives.
  • Serve as the primary point of contact for volunteers, speakers, sponsors, and other external stakeholders.
  • Build and maintain strong relationships with volunteer leaders to support engagement, retention, and recruitment efforts.
  • Oversee event logistics, including registration management, communications, timelines, vendor coordination, and onsite support.
  • Track and report on key performance indicators, including attendance, satisfaction scores, sponsor engagement, and budget performance.
  • Analyze event data and participant feedback to identify opportunities for continuous improvement.
  • Collaborate with internal teams to establish and maintain best practices for event operations and stakeholder engagement.
  • Recommend and implement process improvements to enhance efficiency, consistency, and scalability.

 

Qualifications:

  • 2–3 years of experience in event planning, project coordination, association management, customer success, or a related field.
  • Experience supporting in-person events, including logistics, marketing, and program development.
  • Strong project management and organizational skills with the ability to manage multiple priorities simultaneously.
  • Customer-first mindset with exceptional relationship-building abilities.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite.
  • Experience with event management and project management platforms such as Cvent, Monday.com, and HubSpot preferred.
  • Ability to work independently while collaborating effectively across teams.

 

Additional Details:

  • Business casual office environment.
  • Travel required up to 10 times per year, including occasional evenings and weekends. Most travel is 2–3 days in duration and occurs during the workweek.
