What Does an Event Planner Who Works Remotely Do?

The duties of a remote event planner focus on helping clients plan special events. In this work from home career, you communicate with each client to assess their needs for their special happening. You work on the telephone and internet to coordinate with vendors, find suitable venues that fit within the budget, and arrange things like the guest list and invitations. Event planners come up with a plan for the client and then contact them to provide updates during the preparation process. You may work remotely during planning, but you typically come to the venue to provide services during the event.

What are the key skills and qualifications needed to thrive as a Remote Event Planner, and why are they important?

To thrive as a Remote Event Planner, you need strong organizational abilities, attention to detail, and experience in event coordination, often supported by a relevant degree or certification in event planning. Familiarity with virtual meeting platforms (like Zoom or Microsoft Teams), project management tools (such as Asana or Trello), and event management software is typically required. Excellent communication, problem-solving skills, and the ability to work independently make someone stand out in this role. These skills are important for successfully managing logistics, ensuring seamless virtual experiences, and satisfying client needs from a distance.

How do remote event planners effectively coordinate with vendors and clients in a virtual environment?

Remote event planners rely heavily on digital communication tools such as video conferencing, project management platforms, and collaborative documents to stay connected with vendors and clients. Building clear timelines, setting regular check-ins, and keeping detailed records help ensure everyone is aligned, even when working across different time zones. Developing strong written and verbal communication skills is essential, as much of the planning, problem-solving, and negotiation happen virtually. By leveraging these strategies, remote event planners can successfully manage all aspects of an event without being onsite.

What does a remote event planner do?

A remote event planner organizes and coordinates events such as conferences, weddings, meetings, or virtual gatherings from a remote location. They handle tasks like budgeting, vendor management, scheduling, and logistics, often using digital tools to communicate with clients and oversee event execution. Remote event planners must be skilled in virtual collaboration and problem-solving to ensure every detail runs smoothly, even from a distance.

Responsibilities:

  • Lead technical solutioning and mission architecture development for customer opportunities, including authorship of technical volumes for RFI/RFP responses, white papers, and other customer-facing deliverables.

  • Collaborate with Sales, Marketing, Engineering, and Product to shape win themes, technical discriminators, and architecture narratives.

Demo & Engagement Leadership:

  • Lead technical solution planning for emerging product demos, live flight events, and customer trials, ensuring the architecture and configuration align with customer objectives and product roadmap.
  • Serve as a front-line technical expert during DoD, federal, and enterprise customer engagements.
  • Provide technical direction and system requirements to cross-functional teams in support of demonstration readiness.
  • Partner with the Program Managers to prepare for events, define technical success criteria, and ensure readiness for execution.

Capture & Pre-Sales Engineering:

  • Provide technical support to business development efforts, from early shaping to final proposal submission.
  • Participate in customer discovery conversations and requirements definition efforts.

Internal Coordination & Enablement:

  • Be the bridge between Products, Engineering, and Sales, ensuring solution integrity, feasibility, and alignment with roadmap.
  • Independently own technical solutioning for Hidden Level products, coordinating with Product Managers, Engineering, and others as necessary.

Required Qualifications:

  • Bachelor's or Master's degree in Engineering, Computer Science, Physics, or a related technical discipline.
  • Minimum 7+ years of experience with at least 3 years in RF sensing, ground-based radar, C-UAS, ISR, or related technology domains.
  • Proven success in technical proposal writing and solution architecture.
  • Strong technical leadership skills with the ability to influence cross-functional teams and drive solution alignment.
  • Experience with in-field testing, validation, and demonstration of technical articles
  • Excellent verbal communication with comfort and capability of interfacing with senior government customers.
  • Eligible for a U.S. security clearance (or current clearance preferred).
  • Ability to travel 25-30% domestic & international
