ABA Therapy Scheduler (Remote Position)

Salary: $30,000–$45,000 base + commission opportunities
Location: Fully Remote

If so, we’d love to meet you! House of Hearts ABA — a growing, mission-driven ABA therapy company dedicated to helping children and families — is looking for a Full-Time ABA Therapy Scheduler to join our team.

This isn’t just another administrative job — it’s a key position at the heart of our operations. You’ll be the one ensuring that our amazing clinicians (RBTs and BCBAs) are matched with the right families so services can begin smoothly and on time. You’ll help keep everything moving, everyone connected, and every new case off to a great start.

Experience Required:

Only apply if you have ABA therapy-specific experience in scheduling.
Applicants without ABA scheduling experience will not be considered.

What You’ll Be Doing:
  • Reach out to new and existing RBTs and BCBAs to confirm their availability, preferences, and schedules for client assignments.

  • Coordinate directly with families and staff to finalize start dates, confirm case details, and ensure everyone has what they need to begin services.

  • Perform the scheduling process end-to-end — from matching clinicians with clients to facilitating introductions and confirming first sessions.

  • Use and manage EMR and CRM systems daily to track active cases, staff availability, and scheduling updates.

  • Set up meetings and communications through Google Meet, Gmail, and other company systems.

  • Stay in close contact with both the recruiting and clinical teams, ensuring smooth transitions from hiring to service launch.

  • Represent House of Hearts ABA with warmth, professionalism, and energy in every interaction with families and team members.

What We’re Looking For:
  • Strong English communication skills (Spanish fluency preferred but not required).

  • A friendly, outgoing, and confident personality — someone who truly enjoys connecting with people.

  • Quick, efficient, and detail-oriented — you’ll be managing multiple schedules, clients, and staff at once.

  • Excellent email and phone communication skills, especially through Gmail and Google Meet.

  • Comfort and experience with EMR and CRM systems — familiarity with ABA or healthcare scheduling platforms is a major plus. (Experience with CentralReach)

  • Someone who loves solving problems, takes initiative, and thrives in a collaborative, fast-moving company.
