Position Summary

The Database Manager reports to the Senior Director of Planning & Budgeting. The Database Manager works closely with the Planned Parenthood Federation of America (PPFA) Development Operations Team and serves as the affiliate's liaison for administering all donor data in Salesforce. This position develops and executes standard and custom queries and reports for revenue tracking, mailing lists, and donor analytics, and serves as the affiliate's Salesforce subject matter expert.

Essential Functions/Accountabilities

Database & System Management

  • Own CRM data integrity — leading hygiene efforts (deduping, NCOA and returned mail processing, contact information updates) and driving ongoing system optimization and reporting accuracy.
  • Serve as the affiliate's Salesforce subject matter expert and CFP (Collaborative Fundraising Program) representative, participating in Salesforce and EveryAction data user and advisory groups.
  • Partner with the Development team to assess, develop, and implement data policies and procedures that guide accurate database utilization and improve data quality.
  • Provide general Salesforce onboarding and training for new Development employees.
  • Serve as one of the affiliate's PCI compliance officers.

Reporting & Analytics

  • Design, test, deploy, run, and analyze reports in Salesforce for Development team members; elevate report and data requests to PPFA's Donor and Development Systems teams as needed.
  • Write reports and conduct data analyses supporting budget planning and projections, financial and tax reporting, special events (mailing lists, attendee lists, income/revenue reports), grant reporting for foundation grantors, ad hoc mailing lists, and annual giving metrics.
  • Collaborate with the Senior Development Leadership Team to customize dashboards, track performance, and analyze Compass reports.
  • Support the Senior Director of Planning & Budgeting and Finance Department with reconciliation of revenue and financial reporting.

Prospect Research & Portfolio Support

  • Collaborate with PPFA teams and the Development team on prospect research, wealth screening, and donor analytics.
  • Partner with PPFA teams and the Senior Director of Major Gifts to build donor discovery pipelines and prospect identification systems.
  • Maintain and update prospect scoring and segmentation models to support portfolio development strategies.

Qualifications and Requirements

Education & Experience

  • Bachelor's degree in a related field, or equivalent combination of education and relevant work experience
  • One to three years of experience with CRM database, preferably Salesforce, in a nonprofit or comparable organization.
  • Experience with EveryAction or comparable fundraising/advocacy platforms a plus
  • Prior experience supporting prospect research, wealth screening, or major gifts operations preferred

Skills & Knowledge

  • Proficiency in Salesforce administration, including report and dashboard building, workflow/process automation, and data management best practices
  • Proficiency in Excel, PowerPoint, Word, and other computer skills, as required.
  • Exceptional attention to detail with the ability to enter and manage data accurately in accordance with organizational policy.
  • Strong organizational and time management skills; ability to independently prioritize and manage multiple tasks simultaneously to meet deadlines.
  • Excellent verbal and written communication, interpersonal and relationship-building skills to effectively work with a variety of people and personalities; ability to communicate clearly in person and in writing. 
  • Previous Planned Parenthood experience while preferred is not required.
