Operations Specialist, Creative Services

This is a full-time, remote position. The starting salary range is $70,000–$90,000 annually. The final salary offered will be based on relevant experience, qualifications, internal equity, and organizational considerations.

This position will primarily be responsible for:

The Operations Specialist, Creative Services oversees end-to-end creative production systems across the organization, spanning print, digital, video, and other creative products. This position serves as a bridge between creative teams and program stakeholders to optimize resource allocation, standardize processes, support brand consistency, and ensure high-quality creative products are delivered on time.

The Operations Specialist leads project scheduling, task management, resource allocation, and vendor and freelance management for creative projects from receipt of content through final distribution and fulfillment. The position balances in-house and external creative resources, anticipates production needs, and manages workflows to support efficient execution across multiple projects.

This role also maintains the organization’s creative technology infrastructure, including project management tools, digital asset management systems, and fulfillment pipelines, and supports processes that enable efficient, consistent, and scalable creative production.

Additional Responsibilities

• Manage a roster of freelance designers, videographers, editors, production agencies, and other creative partners to support brand consistency while maintaining visual and storytelling variety across organizational products.
• Strategically match projects with creative professionals whose skills and artistic styles align with the intended audience, format, and tone.
• Lead collaborative creative and video review sessions with program teams and continuously expand vendor and freelance options to support evolving organizational needs.
• Oversee commercial print and production partner relationships by matching project specifications, including print, video/audio post-production, and media-formatting requirements, with supplier capabilities.
• Leverage production volume across projects to negotiate pricing, manage contracts, optimize production budgets, and conduct prepress/pre-flight checks, rough-cut reviews, digital proofing, and quality assurance.
• Create interconnected processes and implement standard operating procedures that improve creative-production efficiency and throughput.
• Establish production-ready handoff protocols for incoming content and facilitate the transition between editorial vision and technical execution.
• Coordinate with teams to ensure creative assets are prepared and delivered appropriately across distribution channels.
• Direct fulfillment logistics, distribution, physical mailings, and inventory-management systems for published materials.
• Monitor inventory levels and distribution metrics, manage reprint cycles, administer creative-production and digital-asset-management tools, and provide support to staff ordering materials.

Supervisory Responsibilities

This position has no direct staff supervisory responsibilities.

The Operations Specialist, provides functional leadership to freelance designers, videographers, editors, production agencies, print and production partners, and other external creative resources supporting organizational projects.

Preferred Qualifications (You Will Be a Good Fit):

Education and Experience

• Five or more years of experience in creative operations, project management, or production management within a marketing agency, nonprofit, or publishing environment.
• Demonstrated experience managing freelance creative talent, contract negotiations, and commercial print procurement.
• Working knowledge of Adobe Creative Cloud workflows, including InDesign, Illustrator, and Acrobat Pro; project management platforms such as Asana; digital asset management systems; and prepress file requirements.
• Exceptional interpersonal skills with demonstrated ability to bridge technical print and design requirements with non-technical program stakeholders.

• Exceptional written and verbal communication skills with the ability to communicate effectively with executive leadership, project sponsors, cross-functional teams, vendors, creative professionals, and external partners.
• Strong creative project and production management skills, including the ability to manage projects from initial content handoff through production, distribution, and fulfillment.
• Strong organizational and resource-management skills with the ability to manage tight deadlines, competing priorities, and high-volume production schedules.
• Ability to manage budgets, vendors, external agencies, freelance creative talent, and production partners.
• Strong contract negotiation, procurement, quality assurance, and production-management skills.
• Ability to bridge creative, technical, and operational requirements and communicate them effectively to non-technical stakeholders.
• Ability to influence, coordinate, and collaborate effectively across teams without formal supervisory authority.
• Strong problem-solving skills with the ability to identify project risks, resolve production challenges, and balance organizational priorities, stakeholder needs, and project objectives

Professional Knowledge

The successful candidate should have advanced knowledge of or experience working with:

• Creative operations, production management, and end-to-end creative workflows.
• Marketing and creative development processes from initial brief through launch, distribution, and fulfillment.
• Print, digital, video, and multimedia production processes.
• Commercial printing, print procurement, prepress/pre-flight requirements, digital proofing, and quality assurance.
• Creative vendor, freelancer, production agency, and contractor management.
• Project scheduling, resource allocation, workflow management, and production planning.
• Digital asset management systems and multi-channel publishing platforms.
• Creative technology systems and project management platforms used to manage workflows, milestones, and assets.
• Fulfillment, distribution, physical mailing, inventory management, and reprint processes.
• Developing and implementing standard operating procedures and production-ready handoff protocols.
• Balancing creative excellence, brand consistency, operational efficiency, accessibility, and organizational needs.

The candidate should also have advanced proficiency with Google Workspace and project management platforms such as Asana, along with strong working knowledge of digital asset management systems, multi-channel publishing platforms, and Adobe Creative Cloud workflows, including InDesign, Illustrator, and Acrobat Pro. Proficiency with collaboration tools such as Slack and Zoom and operational reporting dashboards is also expected.

Certificates, Licenses, and Registrations

Professional certifications such as Certified Associate in Project Management (CAPM), Adobe Certified Professional in Print & Digital Media Publication, and Asana Project Management Certificate are strongly preferred but not required

Travel

Must be able and willing to travel up to 15% of the time, including overnight travel, for organizational meetings, conferences, project implementation activities, training, strategic planning sessions, and other business-related activities as needed.
