Job description

Position Summary: 

Loansure is a growing agency-style operation in the mortgage refinance space, and our direct mail creative team moves fast to keep production on schedule every week. The Creative QA & Workflow Specialist is a part-time contract role dedicated to the quality-assurance and ticket-flow layer of that operation — owning the proofing gate on creative before it ships, running the QA pass on documents after they’re uploaded to our mailing system, and keeping the ticket queue moving on schedule. This role doesn’t touch creative production itself; it exists to protect quality and keep work flowing efficiently through the team. It’s roughly 20 hours a week, weighted toward Monday production days and Friday intake, on a 6-month contract with potential for extension. This role is for someone with a genuinely sharp eye for detail who stays composed when Monday production pressure hits.

Position Responsibilities: 

  1. Own the internal proofing gate for all creative produced by the team — proof mailer templates before they advance to account managers, catching errors in copy, layout, brand alignment, client details, NMLS IDs, disclosures, and formatting.
  1. Run the post-upload QA pass in our proprietary mailing system — verify document settings (simplex vs. duplex, marketing program type, audience, merge fields, bleeds, color, page setup) match spec before production.
  1. Manage day-to-day ticket flow in Jira — triage incoming creative requests,monitorSLA adherence, keep the queue moving, and flag blockers before theyimpactdeadlines.
  1. Own Monday production days —monitor forissues, coordinate real-time fixes with the creative team, and support the smooth handoff of files to our mail house.
  1. Coordinate turnarounds with our creative team members based in the Philippines — communicate proofing feedback clearly, follow up on revisions, and account for time-zone handoffs.
  1. Document caught errors and patterns to inform ongoing process improvements, feed observations back to leadership, and contribute ideas to strengthen proofing checklists and QA workflows over time.

Qualifications: 

Required

  • 3+ years of proven experience in a proofreading, editorial, quality-assurance, traffic, or creative production coordination role — direct mail, print production, or highly regulated marketing experience preferred.
  • Exceptional attention to detail across copy, layout, brand consistency, and document specifications.
  • Working familiarity with Adobe InDesign — enough to open template files, spot layout/merge-field/typography issues, and communicate specific corrections to designers.
  • Comfortable working in a ticketing system (Jira preferred; comparable experience with Asana, Monday,ClickUp, or Trello is fine).
  • Composure under weekly production pressure, with the ability to triage last-minute changes without letting quality slip.
  • Excellent written communication for clear, respectful proofing feedback — including with teammates for whom English is not their first language.
  • Reliable remote work setup with high-speed internet, and consistent availability during Eastern business hours, especially Monday production days.
