We are looking for a high-velocity Executive Coordinator to serve as the right hand to our Chief Marketing Officer (CMO). You will be the operational force behind a fast-moving marketing organization—managing executive priorities, marketing operations, communications, and a modern MarTech stack.

The ideal candidate possesses a rare blend of emotional intelligence, executive presence, cognitive strength, and technical aptitude, thriving in ambiguity, and moving quickly without sacrificing quality.
This is a fully remote position within the United States. To ensure effective collaboration with executive leadership, cross-functional teams, and key business stakeholders, preference will be given to candidates located within the Central Time Zone (CST/CDT) or Eastern Time Zone (EST/EDT). Candidates must be available to work primarily during standard business hours aligned with these time zones.

Core Responsibilities

Executive Operations

Serve as the CMO\'s operational right hand, ensuring priorities, communications, and initiatives move forward without friction.

  • Manage a complex, rapidly evolving calendar, resolving conflicts and aligning priorities.

  • Manage a high-volume executive inbox, prioritizing requests and ensuring timely follow-through.

  • Draft polished communications in the CMO\'s voice with professionalism and accuracy.

  • Act as a trusted liaison between the CMO, leadership team, partners, and key stakeholders.

  • Handle sensitive company information with absolute discretion and sound judgment.

Marketing Operations & Research

  • Keep marketing projects, campaigns, and strategic initiatives on track through effective project management, goal tracking, and cross-functional coordination.

  • Evaluate, implement, and master new technologies that improve team productivity.

  • Conduct market, competitor, and vendor research, translating findings into actionable insights.

  • Prepare reports, presentations, and executive summaries to support decision-making.

Required Qualifications

  • 3+ years of experience supporting C-suite executives in a fast-paced environment.

  • Bachelor’s degree in business administration, Marketing, Communications, Healthcare Administration, Project Management, or a related field is required.

  • Exceptional written communication skills with the ability to draft concise, professional correspondence.

  • Strong organizational skills with the ability to manage multiple priorities simultaneously.

  • Thrives in a fast-moving environment where priorities evolve quickly.

  • Experience preparing executive presentations, reports, dashboards, and business analyses.

  • Experience coordinating vendors, budgets, contracts, and operational processes.

Preferred Qualifications

  • Experience within healthcare, pharmacy, telehealth, wellness, biotechnology, or other regulated industries.

  • Exposure to marketing operations, campaign execution, project management, and cross-functional initiatives.

  • Familiarity with project management tools, CRM platforms, and marketing technologies such as Asana, Monday.com, HubSpot, Salesforce, or similar systems.

  • Working knowledge of digital marketing, social media, email marketing, and marketing analytics.

  • Professional certification in project management, executive administration, or business operations is a plus.
