Job description

Position Title: Senior Associate, Databases & IT
Status: Full Time
FLSA: Exempt
Location: Remote, Washington D.C/Hybrid Preferred

JOB SUMMARY & KEY PRIORITIES

The Senior Associate, Databases and IT works closely with the Director of Technology and other department leads to implement and maintain technology solutions for Development, Programs, MarComm, and Operations. This role focuses on the day-to-day administration and optimization of our primary CRM, Salesforce, as well as tools like ClickUp, Google Workspace and FormAssembly. The Senior Associate will customize Salesforce environments, support automations, and provide technical training to ensure staff can effectively self-serve. Additionally, this role ensures data integrity, supports 3rd-party integrations, and manages technical support tickets. This position reports to the Director, Technology and does not have direct reports.

KEY RESPONSIBILITIES

Database Administration & Support (60%)

  • Salesforce Administration: Perform data integrity tasks, deploy user-centric solutions using declarative development tools, and create technical documentation
  • User Support: Serve as a contact for general Salesforce requests, utilizing our ticketing system and resolving user issues
  • Training: Develop and deliver training sessions and documentation to empower staff to create their own reports and dashboards
  • System Optimization: Implement customizations and automations within Salesforce to improve workflow efficiency based on user feedback.
  • Other Databases: Provide configuration support and data maintenance for project management (ClickUp) and digital asset management (Google Drive) systems.

IT Coordination & Project Management (30%)

  • Process Improvement: Identify operational bottlenecks and suggest sustainable technological practices to improve departmental workflows
  • Policy Support: Assist in creating and updating Standard Operating Procedures (SOPs) and IT user policies, such as naming conventions
  • Vendor Liaison: Work alongside IT contractors on specific projects and help manage the delegation of technical tasks
  • Software Review: Participate in the evaluation of new software requests to ensure they align with existing technical infrastructure

Other Duties (10%)

  • Perform IT or database-adjacent tasks as assigned to support the broader technology team
ABOUT YOU
  • Organized with a strong attention to detail, specifically regarding technical documentation and quality control
  • A clear communicator who can translate complex technical concepts for non-tech colleagues
  • Able to work autonomously on assigned tasks while being a collaborative team player
  • A believer in the power of young people to make an impact on mental health

You need to have:

  • Salesforce: 2-3+ years of experience as a Salesforce administrator (Salesforce Certified Administrator preferred)
  • Data Literacy: High fluency in Excel/Google Sheets, including VLOOKUPs, Boolean logic, and data manipulation
  • Technical Writing: Proven ability to create clear user guides and technical documentation
  • Project Management: Experience using tools like ClickUp, Monday.com, or Jira to track tasks and projects is preferred
  • Education: Bachelor’s degree in IT, Computer Science, or a related field preferred
  • Programming: Basic understanding of SQL/SOQL or other database languages is a significant plus

COMPENSATION 

This position offers an initial range salary of $58,800–$64,400 along with robust benefits. The starting pay for this position is equal to others at the same level throughout the organization. Candidates whose experience meets both the minimum and preferred qualifications may be considered for a starting salary that exceeds the current amount. The role sits within Active Minds Level 2 salary band, and as such, has the potential to grow to $75,600 over time. FLSA Status: Exempt.
