What this job involves: The Business Operations Admin will provide critical operational and administrative support that enables seamless business operations across a dispersed workforce of 500+ employees. As the Business Operations Admin, you'll own key operational workflows, manage technology platforms, and deliver strategic support that directly impacts leadership effectiveness and employee experience. You'll manage end-to-end onboarding and offboarding processes using automated workflows, administer SharePoint sites across multiple levels, and create Smartsheet solutions that anticipate downstream operational needs. Working in a fast-paced, remote environment, you'll provide ad hoc administrative support to the Account Senior Leadership Team including calendar coordination, meeting scheduling, and travel arrangements, while also coordinating special account initiatives, engagement activities, and client-led functions. The ideal candidate will demonstrate proactive problem-solving abilities, systems proficiency, and the capacity to think downstream-anticipating needs and independently managing complex administrative functions before being asked. This role requires exceptional organizational skills, strong attention to detail, and the ability to maintain confidentiality while exercising sound judgment when handling sensitive information. As the account's operational needs evolve, this position will adapt to support emerging business requirements and leadership priorities.
What your day-to-day will look like:
  • Manage end-to-end onboarding and offboarding processes using automated workflows and Smartsheet, including provisioning and revoking access to account technologies, coordinating welcome communications, and maintaining comprehensive process documentation
  • Administer SharePoint sites across multiple levels including content updates, site architecture, page creation, permissions management, and ongoing maintenance to ensure optimal functionality and user experience
  • Create, edit, and manage Smartsheet forms, workflows, and automation including setting up notification systems, configuring access permissions, and building solutions that anticipate downstream operational needs
  • Provide ad hoc administrative support to the Account Senior Leadership Team including calendar coordination, meeting scheduling, travel coordination, and logistical planning
  • Facilitate in-person meeting logistics including reserving meeting spaces, coordinating catering, and providing recommendations for hotels, restaurants, and team activities
  • Coordinate and execute special account initiatives and engagement activities, including volunteer opportunities and team-building events, ensuring seamless execution across a distributed workforce
  • Support client-led functions by coordinating information requests and ensuring timely, accurate responses to stakeholder needs
  • Maintain organizational charts using Organimi, ensuring accuracy and timely updates that reflect team changes across 500+ employees
  • Anticipate leadership needs and take initiative to address them proactively, exercising sound judgment when handling sensitive information and maintaining strict confidentiality

Required qualifications:
  • 2+ years of experience in administrative coordination, operations support, business operations, or related field
  • Demonstrated proficiency with SharePoint administration including content management, site creation, and permissions management
  • Advanced proficiency with Microsoft Office Suite (Word, PowerPoint, Excel, Outlook)
  • Proven ability to think proactively and anticipate downstream implications of tasks and decisions
  • Exceptional organizational skills with ability to manage multiple priorities simultaneously in a fast-paced, remote environment
  • Strong attention to detail with commitment to accuracy and follow-through
  • Self-motivated professional who works independently while knowing when to seek guidance
  • Excellent written and verbal communication skills with ability to interact professionally across all organizational levels
  • Problem-solving mindset with ability to navigate ambiguity and find creative solutions

Preferred qualifications:
  • Experience with Smartsheet including form creation, workflow automation, and data management
  • Familiarity with onboarding/offboarding coordination in remote or distributed work environments
  • Background supporting senior leadership or executive teams
  • Experience with organizational chart tools (Organimi or similar platforms)
  • Knowledge of access management and technology provisioning processes
  • Project coordination experience with cross-functional teams

Estimated compensation for this position:
45,000.00 - 60,000.00 USD per year
This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
