Recruitment & Onboarding Coordinator

Full-Time | Remote | Ontario


Position Overview

3PL Inc. is seeking a highly organized, detail-oriented Recruitment & Onboarding Coordinator to own the day-to-day recruitment pipeline for our industrial and food-manufacturing client sites across Ontario.


This role manages the full front end of the employee lifecycle: sourcing and screening candidates, maintaining an organized candidate database, communicating with applicants, coordinating onboarding documentation, creating employee profiles in Dayforce, and ensuring every new hire is compliant and assignment-ready before their first shift.


This is a full-time, remote position suited to someone who enjoys process, follow-through, and keeping systems accurate — and who wants to grow into a broader recruiting role within a boutique team.


Key Responsibilities

Sourcing & Candidate Management

• Review and sort incoming resumes from job boards (ZipRecruiter, Indeed, and other sources)

• Actively source candidates for open orders using job boards, resume databases, and referrals

• Conduct initial phone screens to confirm availability, location, shift preference, and basic job requirements

• Maintain an organized candidate database for current and future opportunities

• Flag qualified candidates for internal review and track application statuses through to placement

• Post and refresh job advertisements as directed

Applicant Communication

• Send acknowledgement emails to all applicants

• Respond to candidate inquiries regarding available opportunities

• Send professional decline notices to candidates not moving forward

• Notify interviewed candidates of hiring decisions within required timelines

• Maintain timely, professional, and respectful communication with all applicants

Onboarding & Compliance

• Distribute onboarding packages to selected candidates via DocuSign

• Collect, verify, and track required employment documentation (identification, work eligibility, banking, tax forms, safety certifications)

• Coordinate reference checks and any client-required screening

• Track completion of health & safety orientation, WHMIS, and site-specific training requirements

• Follow up on outstanding items and confirm onboarding is complete prior to assignment

Dayforce Administration

• Create new employee profiles in Dayforce (Ceridian) accurately and completely

• Upload and organize onboarding documentation within employee files

• Maintain accurate, up-to-date, audit-ready employee records

• Process status changes, assignment updates, and file corrections as required

Recruitment Operations Support

• Schedule interviews and site orientations

• Support employee communications, including shift and assignment broadcasts

• Maintain recruitment and onboarding records and trackers

• Contribute to improving recruitment and onboarding processes

• Provide general administrative and coordination support to the recruitment and client services team

Ideal Candidate

• Experience with Dayforce (Ceridian) or a comparable HRIS/payroll system

• 1–3 years of experience in recruitment, staffing, HR, or high-volume administration

• Strong organizational skills and exceptional attention to detail

• Professional written and verbal communication skills; comfortable on the phone with candidates

• Self-directed and reliable in a remote environment

• Able to manage high-volume, repetitive tasks consistently and accurately

• Comfortable with digital documents, e-signature platforms, and online systems

• Experience in industrial, manufacturing, or food-production staffing is an asset

• Additional languages are an asset

Position Details

• Remote | Work From Home (Ontario-based)

• Full-Time | 40 hours per week, Monday to Friday

• Core hours: 8:00 a.m. – 4:30 p.m. ET
