Job description

Medical Conference and Events Manager Location : Remote (U.S.-based, with travel required for events) Employment Type : Full-Time About The Stem Cell Conference The Stem Cell Conference is a premier annual CME accredited event bringing together 200–300 medical professionals, researchers, and industry leaders to explore advancements in stem cell research and therapies. In addition to the conference, we host 5-10 dinner seminars annually to foster education and collaboration within the regenerative medical community. We are seeking a dedicated Medical Conference and Events Manager to oversee the planning and execution of The Stem Cell Conference and our dinner seminars.

This is a remote, full-time role with travel required for the main conference and potentially other events. Responsibilities Plan and execute The Stem Cell Conference (200–300 attendees), including venue selection, catering, audio-visual setup, and exhibitor coordination. Manage 5-10 dinner seminars throughout the year, handling logistics such as venue booking, catering, and AV needs.

Develop and implement email marketing campaigns to promote the conference and seminars, utilizing platforms like HubSpot. Maintenance and management of conference social media platforms and engagement with speakers, exhibitors and attendees. Conduct outreach to exhibitors, manage registrations, and ensure a seamless experience for sponsors and vendors.

Coordinate with vendors and venues, leveraging established processes to streamline logistics. Ensure compliance with continuing medical education (CME) requirements and other regulatory standards for medical events. Monitor budgets, track expenses, and provide regular updates to leadership.

Travel to The Stem Cell Conference and potentially dinner seminars to oversee on-site operations. Qualifications Bachelor's degree in event management, hospitality, marketing, or a related field (or equivalent experience). 5+ years of experience in event planning, preferably in medical, scientific, or healthcare conferences.

Proven expertise in email marketing, including experience with HubSpot or email marketing platforms. Experience with social media management. Strong organizational and project management skills, with the ability to manage multiple events simultaneously.

Familiarity with CME accreditation processes and medical conference regulations (preferred). Excellent communication and interpersonal skills for vendor, exhibitor, and attendee interactions. Ability to work independently in a remote setting while meeting deadlines.

Willingness to travel for The Stem Cell Conference (required) and dinner seminars (as needed). Proficiency in Microsoft Office, Google Suite, and event management software (e.g., Cvent, Eventbrite). Competitive salary commensurate with experience.
