Position Summary


The Assistant Account Manager will support the day-to-day administration of employee benefit plans and assist with account-management activities for assigned clients.
This position is responsible for processing new-hire enrollments, qualifying life events, employee terminations, eligibility changes, carrier updates, billing reconciliations, renewal data, benefit-plan builds, reporting, and client service requests.
The successful candidate will work across multiple platforms, including Employee Navigator, insurance carrier portals, payroll systems, Microsoft 365, and internal tracking tools. Accuracy, timely follow-up, clear communication, and careful documentation are essential to success.
This role is ideal for a professional who enjoys administrative and operational responsibilities, follows established procedures, and can independently manage multiple deadlines in a fully remote environment.
 
Key Responsibilities
Employee Benefits Administration

  • Process employee benefit enrollments for newly hired employees.
  • Process qualifying life events, including marriage, divorce, birth, adoption, and loss of other coverage.
  • Process employee benefit terminations accurately and within required timelines.
  • Manage eligibility changes, coverage updates, effective dates, and other enrollment transactions.
  • Verify that benefit elections and employee information are complete and accurate.
  • Track and collect beneficiary information.
  • Update beneficiary records within the appropriate systems.
  • Coordinate coverage terminations with insurance carriers for departing employees.
  • Maintain clear documentation of all benefit transactions.
  • Protect employee and client information in accordance with confidentiality requirements.

Employee Navigator Administration

  • Support benefit-plan setup and renewal activities within Employee Navigator.
  • Assist with building or updating benefit plans, eligibility rules, rates, classes, and enrollment information.
  • Support new-hire, annual enrollment, and qualifying life event workflows.
  • Review employee and plan data for accuracy.
  • Troubleshoot enrollment and system-related issues.
  • Resolve or escalate Employee Navigator service requests.
  • Monitor transactions to ensure that changes are completed successfully.
  • Support data consistency between Employee Navigator, carrier portals, payroll systems, and internal records.


Carrier and Vendor Coordination

  • Access insurance carrier portals to process and monitor enrollments, terminations, and benefit changes.
  • Communicate directly with insurance carriers regarding eligibility, enrollment, coverage, and service-related issues.
  • Follow up on pending carrier transactions.
  • Research discrepancies between carrier records and internal benefit systems.
  • Obtain confirmation that requested changes have been completed.
  • Assist benefit counselors with new-hire and termination notifications.
  • Maintain professional relationships with carriers, vendors, and third-party partners.
  • Escalate unresolved or time-sensitive issues appropriately.

Quoting and Renewal Support

  • Gather employee census data and required renewal information.

  • Communicate with carriers and internal stakeholders to resolve discrepancies.

  • Provide status updates to account managers and other internal stakeholders.

Client and Employee Service

  • Provide prompt, accurate, and professional service to clients, employees, carriers, and internal team members.
  • Respond to inquiries by email, phone, and virtual meetings.
  • Assist with ID card requests, eligibility concerns, enrollment questions, and coverage-related service requests.
  • Explain administrative procedures and next steps clearly.
  • Follow up until issues are resolved or appropriately escalated.
  • Maintain a professional and helpful communication style.
  • Document all important communications and completed actions.
  • Deliver service that supports client satisfaction and retention.

Additional Support

  • Assist Account Managers and Benefits Administration team members with daily operational needs.
  • Participate in team meetings, training sessions, and process-improvement initiatives.

  • Perform other duties as assigned.
