Job Overview:
We are seeking detail-oriented Project Support Analysts to support the Pennsylvania Medicaid Management Information System (PA MMIS) Modernization program. This large-scale enterprise modernization initiative is focused on transforming the Commonwealth's legacy MMIS environment into a modular, modern platform supporting improved healthcare delivery and operational efficiency.
This role is focused on project coordination, meeting facilitation support, documentation management, and execution support activities within a fast-paced MMIS modernization environment. The ideal candidate will be highly organized, proactive, responsive, and capable of managing multiple administrative and coordination activities simultaneously while maintaining a high degree of accuracy and professionalism.
This is not a senior Project Manager or PMP-level role. The position is best suited for junior-to-mid-level project coordinators, project analysts, PMO analysts, or execution-focused support professionals with strong organizational and communication skills.
Responsibilities:
Meeting Coordination & Communication Support
  • Schedule, coordinate, and manage project meetings using Microsoft Outlook and related collaboration tools
  • Create and distribute meeting invitations, agendas, updates, and cancellations as needed
  • Facilitate meeting logistics and ensure meetings are properly organized and supported
  • Capture detailed meeting minutes, including:
    • Key discussion points
    • Decisions made
    • Action items
    • Task owners
    • Due dates
  • Track action items through completion and proactively follow up with assigned owners as needed
  • Support communication coordination across project teams, leadership, vendors, and stakeholders

Documentation & Organizational Support
  • Organize, maintain, and update project documentation repositories and shared project artifacts
  • Ensure all project documentation is accurate, complete, consistently formatted, and aligned with established standards
  • Maintain meeting artifacts, trackers, status logs, issue logs, and related project coordination materials
  • Support document version control and adherence to project governance processes
  • Assist project leadership with the preparation of project materials, presentations, and coordination activities

Administrative & Project Tracking Support
  • Log and maintain project tasks, action items, work items, and related updates within Azure DevOps (ADO) or similar tracking tools
  • Support PMO and project leadership teams with execution tracking and coordination activities
  • Assist with status reporting, meeting follow-ups, and coordination of deliverables
  • Provide responsive day-to-day support to project leadership and cross-functional teams

Required Qualifications:
  • Experience supporting project coordination, PMO, project analyst, or administrative project support functions
  • Strong organizational skills with exceptional attention to detail and follow-through
  • Ability to manage multiple tasks, deadlines, and coordination activities simultaneously
  • Strong written and verbal communication skills with the ability to produce professional project documentation
  • Highly responsive, dependable, and capable of operating effectively in fast-paced project environments
  • Ability to follow established standards, procedures, templates, and governance processes consistently
  • Professional demeanor and strong interpersonal communication skills

Preferred Qualifications:
  • Prior experience supporting healthcare, Medicaid, MMIS, government, or large-scale IT modernization projects preferred
  • Experience supporting PMO or project coordination activities within Agile or SDLC environments
  • Familiarity with Azure DevOps (ADO), JIRA, SharePoint, or similar project tracking/document management tools
  • Experience preparing meeting minutes, action item trackers, and project coordination artifacts
  • Junior PM, PMO Analyst, Project Coordinator, or Project Analyst background preferred

Technical & Tool Proficiency:
