Job Title: Assistant Regional Manager (with Dispatching Responsibilities)

Department: Operations

Reports To: Regional Manager

Job Type: Full-Time

Position Overview

The Assistant Regional Manager (ARM) supports the Regional Manager in the day-to-day operational oversight of an assigned region. This role focuses on execution, coordination, monitoring, and follow-through on regional operational tasks to ensure continuity of service, compliance, and performance standards. The ARM acts as an extension of the Regional Manager and may assume delegated responsibilities in the Regional Manager’s absence.

Key Responsibilities Operational Support & Oversight
  • Support the Regional Manager in daily operational activities across the assigned region
  • Assist with ensuring all routes, drivers, and vehicles are operational and properly assigned
  • Monitor daily scheduled vs. performed trips and escalate issues to the Regional Manager
  • Verify routes are started as scheduled and ensure service continuity
  • Assist with offsite visits, spot checks, and driver inspections as directed
Safety, Compliance & Risk Management

Assist the Regional Manager and Risk Manager with accident reporting, documentation, and follow-up

Support retrieval of video footage, incident reports, and required documentation

  • Assist in monitoring the current camera systems as it relates to safety alerts and inbox items and clearing assigned issues in a timely manner
    • Review wheelchair securement photos and compliance documentation as assigned
    • Participate in audits, inspections, and compliance reviews as needed.
  • Assist with Drug & Alcohol Program compliance as delegated
Scheduling, Timekeeping & Payroll Support
  • Assist with maintaining driver schedules and balancing hours evenly
  • Verify previous day timecards are complete, accurate, and clocked out properly
  • Identify timecard discrepancies, missed punches, or unassigned time and notify the Regional Manager
  • Support overtime monitoring by identifying trends and contributing factors
  • Verify break times and commute time usage align with RMS policy
  • Confirm drivers assigned to routes are properly clocked in and out in ADP
Fleet & Asset Coordination
  • Assist with ensuring vehicles are returned to service promptly by coordinating with maintenance vendors
  • Support monitoring of van camera functionality, GPS data, and driver-to-vehicle assignments
  • Assist with fuel card administration under Regional Manager direction
  • Help track issued uniforms, phones, and equipment for regional staff
Employee Support & Administration
  • Assist with onboarding tasks as delegated (uniforms, system access, device setup)
  • Support employee file maintenance and documentation accuracy
  • Participate in staff meetings, team check-ins, and morale-building activities
  • Serve as a point of contact for drivers, dispatchers, and schedulers when escalated
Communication & Customer Relations
  • Assist with responding to customer and agency inquiries and complaints within required timelines
  • Escalate unresolved or sensitive issues to the Regional Manager promptly
  • Support communication with Regional Commissions and internal RMS departments
  • Promote professionalism, responsiveness, and positive relationships within the region
Reporting & Documentation
  • Assist with preparation of mileage, hours, and operational performance reports
  • Help maintain organized and accurate shared-drive file structures
  • Ensure documentation is stored correctly and updated as required
  • Support KPI tracking and reporting efforts
Special Projects & Coverage
  • Support companywide or regional projects assigned by the Regional Manager or upper management
  • Serve as acting Regional Manager when delegated or during absences, within defined authority limits
Qualifications & Skills
  • Experience in transportation operations, dispatch, or management support preferred
  • Strong organizational and follow-through skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Effective communication and problem-solving skills
  • Proficiency with RMS systems including ADP (HRIS), current camera systems located in vans, current routing systems, and shared file platforms (or ability to learn quickly)
