Job description

We are seeking a Project Coordinator to join our federal team in Huntsville, AL.

At Johnson Controls, we support our nation’s most critical facilities, the people who occupy them, and the missions they enable. Johnson Controls Federal Systems (JCFS) is a specialized team serving as a trusted partner to the federal government. We help modernize U.S. military installations, Department of Defense and other federal agency facilities to be smarter, more resilient, efficient, sustainable, and secure.

Shift: Primarily 8:00am – 5:00pm, Monday – Friday

Benefits: Eligible for benefits on first day of employment

Vacation: 3 weeks of paid vacation, 5 sick days, 3 floating holidays, and 10 standard holidays per calendar year

Travel Required: Limited

As a Project Coordinator, you will:

  • Support the business activities with RFP’s, RFI’s, RFQ’s, subcontract processing, and other relevant project documentation
  • Work with procurement, project management, engineering, and regional teams to get products ordered through electronic purchasing/ordering tools and ensure consistent delivery of services and internal financial commitments. Researches and obtains information for reports, tasks and assignments. Confirms delivery of all products with customers.
  • Partner with vendors regarding expediting orders and shipping data
  • Work with vendors on return material authorizations
  • Handle and completes the delivery of project or sales related administrative tasks, including GSA Box sales, to ensure customer expectations and internal project financial commitments are met
  • Communicate with the Government on deliverable dates, issues, cancellations and other issues.
  • Assist with the subcontract process. Organizes and files subcontractor documentation such as waivers, certificates of insurance, wrap ups, bonding information, subcontractor invoices, etc
  • Set up submittal packages in Procore for use by project teams. Gathers documents such as network flow diagrams, room schedules, project bill of materials, and other related project documentation.
  • Handle all executed 4025s to include email notifications, and electronic and paper filing
  • Provide hard copy deliverables consisting of binding, photocopying, cd burning and setting up shipping.
  • Support, processes, tracks, and files third party bookings and proposals
  • May help support new contracts and manages any changes to existing maintenance and service, retrofit or PSA contracts, labor and material orders, and service order management
  • Work with project management to ensure cost scheduling and re-estimates are entered into the tracking system. Enters project dates, schedules, and contract costs as directed
  • Support document control functions at times
  • Perform other duties as required to support the project team
Required Qualifications:
  • Strong computer skills with general Windows environment, Microsoft Office software, and email
  • Advanced skills with Excel including, but not limited to, creating and working with tables and formulas
  • Must have strong interpersonal skills to effectively communicate with both internal and external clients
  • Ability to multi-task and handle multiple competing priorities and orders.
Preferred Qualifications:
  • Experience supporting project related teams in the construction or building maintenance industry
  • Prior experience working with RFI’s, RFP’s, RFQ’s, submittals and other construction project documentation
  • Experience working with government contracting
  • Proficiency working with Procore
Preferred Education:
  • High School Diploma or equivalent required. Associates Degree (or higher) preferred.
  • Experience and/or basic project accounting or costing principals
