Admin Support (Receptionist, Mail, & File Management) (Non-Exempt for Reef Systems)
Job Summary
This front-line position provides professional public-facing representation, operates the primary or secondary reception areas, and manages daily inbound/outbound secure mail and logistics operations.
Core Responsibilities
  • Reception Operations: Staff the designated floor reception desk continuously during business hours. Professional greet, log, and badge high-level visitors, including foreign dignitaries, congressional staff, and corporate executives.
  • Mail & Courier Logistics: Receive, log, open, and inspect all incoming unclassified mail, checking for mandatory attachments. Distribute items according to the USTDA Correspondence Guidelines.
  • Inquiry Routing: Manage general agency email inboxes and primary phone lines daily, routing inquiries and electronic documents to the appropriate personnel or office.
  • Outbound Shipping: Process, pack, and coordinate outgoing regular mail and express commercial courier packages (FedEx/UPS/DHL), maintaining an accurate log of all transaction dates.
  • Supply & Inventory Control: Track, organize, and restock the eight copier workrooms and the central mailroom with papers, forms, and tools. Notify the administration office when inventory runs low or machinery requires repair.

Minimum Qualifications
  • Education: High School diploma required (higher education preferred).
  • Experience: 1-3 years of experience in a professional office environment as an administrative assistant, receptionist, or mailroom clerk.
  • Skills: Exceptional customer service and verbal communication skills; proficiency with standard office software (MS Office/Teams).
  • Clearance: U.S. Citizenship with the ability to obtain and maintain a SECRET security clearance.
