Position Title: Medical Records Technician

Position Purpose: The Medical Records Technician supports the VTARNG medical readiness mission through the maintenance, organization, processing, and safeguarding of Soldier medical documentation and electronic medical records. This position ensures timely and accurate management of medical records in compliance with Army regulations, HIPAA standards, and contract requirements.

Duties and Responsibilities:

  • Receive, review, scan, upload, and maintain Soldier medical documentation within MEDCHART and other authorized systems.
  • Log and forward medical documents to the Records Custodian within three business days of receipt.
  • Maintain Soldier medical records in accordance with AR 40-66 and applicable HIPAA standards.
  • Upload medical documents into the Health Readiness Record (HRR) system and verify document accuracy.
  • Stamp and verify medical documentation following upload procedures.
  • Support case management staff with record reconciliation and preparation for MEB/PEB boards and readiness events.
  • Ensure completeness and accuracy of both hardcopy and electronic medical records.
  • Assist with monthly medical readiness reporting and documentation tracking.
  • Coordinate medical records transfers for mobilization and deployment operations.
  • Maintain confidentiality and security of Personally Identifiable Information (PII) and protected health information.

Requirements:

  • High school diploma or equivalent required; associate degree in Health Information Management or related field preferred.
  • Minimum of one (1) year of medical records, healthcare administration, or related experience preferred.
  • Knowledge of HIPAA, medical terminology, and records management practices.
  • Experience with electronic medical records systems preferred.
  • Strong data entry and organizational skills with high attention to detail.
  • Ability to obtain and maintain a Common Access Card (CAC) and pass required background investigations.

Working Conditions and Environment

This position is on-site in a medical facility.   Driving may be required.

Physical Requirements

The position requires repetitive motion, such as standing, walking, sitting and bending.  Light lifting, up to 20 pounds, may be required.
