MUST:

  • Experienced records technician with 2+ years of experience in medical records administration, healthcare administration, dental administration, or a related healthcare support environment.
  • Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
  • Experience maintaining confidential records and sensitive information.
  • Strong organizational, time management, and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Ability to obtain and maintain required installation access credentials and government system access.
  • Knowledge of medical records management principles.
  • Ability to maintain accuracy while handling large volumes of data.
  • Ability to meet strict deadlines and reporting requirements.
  • Strong attention to detail and analytical skills.
  • Ability to work independently while supporting multiple stakeholders.
  • Ability to safeguard confidential information and adhere to privacy regulations.
  • DUTIES:

    • Receive, process, review, and verify administrative completeness of medical and dental documentation.
    • Scan, upload, organize, and maintain electronic records in designated government systems.
    • Maintain accurate medical readiness records and tracking logs.
    • Process documentation within established contract timelines.
    • Ensure all records are maintained in accordance with applicable privacy and security requirements.
    • Track dental readiness status and generate weekly readiness reports.
    • Process dental examination forms and identify missing administrative information.
    • Review and update administrative information within DENCLASS and MEDCHART systems.
    • Coordinate dental readiness events with civilian dental providers.
    • Track appointment attendance and prepare no-show reports.
    • Monitor follow-up requirements and maintain dental non-compliance tracking reports.
    • Generate weekly hearing readiness reports using MEDPROS.
    • Coordinate audiology appointments and hearing readiness events.
    • Schedule follow-up appointments as directed by authorized medical personnel.
    • Track missed appointments and prepare audiology non-compliance reports.
    • Maintain Hearing Class 3 case tracking and monthly status reports.
    • Reconcile administrative discrepancies within designated systems of record.
    • Enter and update administrative information in MEDCHART, eCase, MEDPROS, and other government databases.
    • Prepare weekly, monthly, and ad hoc reports as required.
    • Maintain credentialing tracking logs and supporting documentation.
    • Ensure timely completion of all reporting requirements and data updates.
    • Maintain 100% compliance with HIPAA, HITECH, and Business Associate Agreement requirements.
    • Protect Personally Identifiable Information (PII) and Protected Health Information (PHI).
    • Complete required HIPAA and security training.
    • Report suspected privacy incidents in accordance with established procedures.
    • Forward requests for access or amendment of records to designated government personnel.
