Summary
The City of Lancaster is seeking an organized, dependable, and service-focused professional to join our team as a Records Technician.
This position is responsible for preparing, reviewing, routing, filing, and distributing reports and records. The Records Technician processes public information requests, maintains accurate records, assists customers, and helps ensure information is released in accordance with the Texas Public Information Act and other applicable laws and procedures.
The ideal candidate will be detail-oriented, comfortable working with confidential and sensitive information, and able to manage multiple requests while meeting required deadlines.

Essential Duties and Responsibilities
May include, but are not limited to, the following:
  • Enter, code, update, and retrieve information from various computer systems in accordance with established procedures
  • Search for and retrieve information from files, computer records, microfiche, and other documents in response to specific requests
  • Process open records requests accurately and within required timelines under the Texas Public Information Act
  • Prepare authorized correspondence for submission to the Texas Attorney General Open Records Division when a ruling is required
  • Review, edit, release, and distribute police 911 calls, in-car video, and body-worn camera records under the direction and approval of the Records Manager
  • Release records and information in accordance with the Public Information Act and other applicable laws, policies, and procedures
  • Sort, review, and screen police reports for completeness before distributing them to the District Attorney's Office, defendants, victims, governmental agencies, and the public
  • Maintain logs, tracking systems, and other records controls to ensure case files and requests can be accurately monitored
  • Categorize and compile statistical information according to established guidelines
  • Answer phone calls and respond to requests for information regarding records, departmental functions, and applicable policies
  • Provide backup support for City records storage and retrieval, including Iron Mountain
  • Maintain confidentiality and exercise care when handling sensitive or protected information
  • Perform other related duties as assigned

Education and/or Experience
An associate degree or equivalent from a two-year college or technical school is preferred.
Six months to one year of related experience and/or training may be accepted, or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the position.
Related experience may include:
  • Records management
  • Open records or public information requests
  • Police, legal, or governmental records
  • Administrative or clerical support
  • Data entry and document processing
  • Customer service involving confidential information

Certificates, Licenses, Registrations
Valid Texas Driver's License with a good driving record required
