About the Role:

The Receptionist at TAGTIME USA INC plays a pivotal role in creating a positive first impression for visitors and clients within our customer service/ manufacturing environment. This position is responsible for managing multi-line phone systems efficiently, ensuring all calls are answered promptly and directed to the appropriate departments. The Receptionist will also perform general administrative duties that support the smooth operation of the office, including handling correspondence, scheduling appointments, stocking restrooms and maintaining office supplies. A key outcome of this role is to facilitate effective communication between clients, vendors, and internal teams, contributing to overall organizational efficiency. The Receptionist will be the welcoming face of the company, ensuring all guests and callers receive courteous and professional service at all times.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Proven experience handling multi-line phone systems in a professional office environment.
  • Strong communication and interpersonal skills with excellent phone etiquette.
  • Basic proficiency with office equipment such as computers, printers and copy machines.
  • Ability to perform general administrative tasks efficiently and accurately.

Responsibilities:

  • Answer and manage multiple phone lines with professional phone etiquette, directing calls to the appropriate personnel or departments.
  • Greet and assist clients, visitors, and vendors promptly and courteously upon arrival, via phone or email.
  • Perform general office duties such as filing, copying, faxing, and maintaining office equipment including copy machines.
  • Manage scheduling and calendar coordination for meetings and appointments as needed.
  • Maintain a clean and organized reception area and ensure office supplies are stocked and ordered when necessary.
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Sort/distribute all mail/packages received
  • Data entry; gather information required for all orders and inputting into the accounting system.
  • Improving engagement with our clients and providing outstanding customer service.
  • Manage TTU items in RC, including Inventory items. 
  • Create price sheets and/or work on Excel spreadsheets.
  • Maintain a clearly organized workspace
  • Logs all the processed orders, packing slips, etc
  • Email coordination with Customer Service and Sales
  • Create shipping labels for all sample shipments
