JOB TITLE: OFFICE COORDINATOR

DEPARTMENT: FAMILY HEALTH CARE OF FARMER CITY

HOURS & SHIFT REQUIREMENTS: Full time. 80 hours per pay period. Monday – Friday, 8-5.

GENERAL SUMMARY

Oversee operations in front office re: check-in and check-out, scanning, medical records. Assist Office Manager in daily running of office. Help to achieve and maintain a pleasant environment to work in. Provide an atmosphere of high work ethics to serve the doctors and patients to the best of our ability. Is responsible for insuring the smooth running of Providers' appointment book.

PRINCIPLE DUTIES AND RESPONSIBILITIES

  • Assist Office Manager as needed.
  • Oversee the sorting of mail.
  • Perform or see that monthly audits for QA are done: Exit Lights, AED Check, Spot check all depts for expired meds and temperature logs.
  • Respond to needs, complaints, or praises made regarding front office area, medical records, &/or scanning.
  • Assist in daily clinic operations.
  • Be liaison between Nursing staff, the front office and the providers- to report to office manager.
  • Perform the responsibilities of Medical Records officer – assist in scanning, records copying, etc.
  • Order office supplies as needed.
  • Prepare payable invoices for the manager's final approval.
  • Complete month end reports for the office manager.
  • Assist office manager with reviewing office policies and procedures.
  • Other duties as assigned

PHYSICAL REQUIREMENTS

1. Requires sitting for long periods of time; also stooping, bending, and stretching for files and supplies. Occasionally lifts files or paper weighing up to 30 pounds.

2. Physical strength to perform the following lifting tasks: • Floor to waist - 20 pounds • 14" to waist - 30 pounds • Waist to shoulder - 20 pounds • Shoulder to overhead - 10 pounds • Carry 30 pounds for 30 feet • Push 10 pounds/force for 15 feet • Pull 10 pounds/force for 15 feet

3. Requires manual dexterity sufficient to operate a keyboard, type at 40 wpm, operate a calculator, telephone, copier, dictation recorder, and such other office equipment as necessary.

4. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contacts.

5. It is necessary to view and type on a computer screens for long periods and to work in an environment which can be very stressful.

REPORTING RELATIONSHIP

Reports to the Office Manager.

Qualifications

EDUCATION, KNOWLEDGE AND ABILITIES REQUIRED:

  • Minimum High School graduate or GED.
  • Typing ability of 40 wpm. Work processing experience.
  • Must be familiar with CPT and ICD-10CM codes, either through education or experience as demonstrated by past performance.
  • Knowledge of medical terminology and the insurance industry.
  • Knowledge of grammar, spelling and punctuation to type correspondence.
  • Skill in operating a computer and photocopy machine.
  • Ability to read, understand, and follow oral and written instruction.
  • Ability to sort and file materials correctly by alphabetic or numeric systems.
  • Ability to speak clearly and concisely.
  • Ability to establish and maintain effective working relationships with patients, employees, and the public.
  • Knowledge of medical billing/collection practices.
  • Knowledge of Medicare.
  • Knowledge of governmental legal and regulatory provisos related to collection activities.
  • Skill with computer applications and use of a calculator.
  • Ability to deal courteously with patients, co-workers, and others.
  • Ability to communicate clearly.
  • Ability to multitask efficiently.

INFECTION EXPOSURE RISK LEVEL
