Position Title: Sales & Marketing Assistant
Department: Sales & Marketing
Starting Rate: $36 an hour
Exempt Status: Hourly / Non-Exempt
Supervisor: Director of Sales & Marketing
GENERAL SUMMARY:
The Sales & Marketing Assistant serves as a key representative of the sales and marketing department and supports the sales and marketing team. This primarily includes receptionist responsibilities, managing administrative functions coordinating events, completing reports, serving in a hospitality role, managing office inventory and providing other administrative support functions. This position reports to the Director of Sales & Marketing.
PRINCIPAL DUTIES:
Essential Job Duties:
• Answers and directs incoming phone calls and manages the lead distribution system Greets and serves all visitors to the marketing office.
• Plans and implements all elements associated with marketing events within the approved budget.
• Prepares and updates marketing and sales reports.
• Processes all sales, cancellations, transfers and associated documentation.
• Responsible for maintenance of marketing systems, including Sherpa (CRM), and capable of producing data results and system generated reports.
• Processes invoices and is responsible for maintaining budget performance spreadsheets.
• Manages the office by tracking inventory and ordering office supplies, collateral, and other printed materials within the approved budget.
• Maintains and updates the office schedule including events, staff schedules and appointments.
• Updates the community website and manages other digital responsibilities as assigned including taking an active role in the community social media strategy.
• Assists with the preparation of the annual marketing plan by creating data tables, compiling components created by others and producing the final plan.
• Coordinates and creates the marketing newsletter.
• Works with the Move-In Coordinator and the Director of Sales & Marketing to ensure all paperwork is collected for assessments of future residents.
• Provides coverage at the front desk as needed.
• Serves as the primary marketing and sales contact for communication with other departments.
• Provides administrative support to the Move-In Coordinator and the Director of Sales & Marketing as requested.
• Redirects residents to appropriate contact for questions, comments, or concerns.
• Always maintains a professional appearance.
• Attends meetings as requested.
• Assumes responsibility for maintaining work areas in a presentable manner.
• Ability to travel to customer home as needed to advance the sale and visit residents away from the community.
• Other duties as assigned.

QUALIFICATIONS: • Minimum 1-year related work experience. • Minimum requirement of a high school degree or equivalent (preferably bachelor's degree).• Have strong organizational skills as well as the ability to follow-up, detail-oriented, ability to multi-task; prioritize projects and objectives while meeting deadlines. Experience in a professional office setting or hospitality environment, where good communication (especially telephone) and customer relation skills are essential.• Proficient in the use of various software including all Microsoft Office applications.• Strong written and verbal communication skills• Excellent keyboarding and proofreading skills• Occasionally lift and/or move up to 25 pounds. • Competent in organizational and time management skills.
PHYSICAL REQUIREMENTS/WORKING CONDITIONS: • This position requires the ability to walk, stand and talk frequently.• Must be able to push/pull up to 40lbs, lift to 35lbs.• Ability to work in a fast-paced, high-performance environment with multiple priorities.• Normally works in well-lit, comfortable surroundings. • Must be able to concentrate with frequent interruptions. • Must be able to tour through the entire community including the ability to push an individual in a wheelchair
