We are seeking an engaging and professional Receptionist to be the face of the company. The Receptionist / Administrative Assistant is a pivotal role in supporting the smooth operations of the office and contributing to the overall success of the team. This individual will not only welcome clients and guests but will also play an integral role in supporting our team with administrative tasks, facilities management, and meeting preparation. The ideal candidate is a proactive and organized individual with strong customer service skills, capable of handling multiple responsibilities and maintaining a professional environment.

This dynamic position involves maintaining office supplies and ensuring a welcoming environment for both employees and visitors. As the face of the organization, the Receptionist / Administrative Assistant plays a critical role in fostering a positive, inclusive, and high-energy work culture while contributing to the efficiency of the team and the growth of the organization.

Responsibilities:

  • Front Desk Management:Greet and welcome all visitors and clients in a friendly and professional manner, directing them to the appropriate department or individual.

  • Phone and Communication Management:Answer incoming calls, directing them to the appropriate personnel, and taking clear messages when necessary.

  • Client and Team Support:Assist clients and team members with various requests, ensuring smooth coordination of meeting logistics, office supplies, and other administrative tasks.

  • Facilities and Maintenance Coordination:Liaise with facilities and maintenance teams for office repairs or issues, ensuring the office environment is well-maintained.

  • Meeting Preparation:Assist with the preparation of meeting rooms, including setup, catering orders, and ensuring all necessary materials are available.

  • Clerical and Administrative Assistance:Provide clerical support such as document preparation, filing, and maintaining organized records as needed by the team.

  • Office Organization:Maintain cleanliness and order in the reception and kitchen areas. Ensure common areas are stocked with essential office supplies and place weekly supplies and grocery orders.

  • Other duties as assigned: Willingness to take on new responsibilities and adapt to evolving organizational needs.

  • Mail and Deliveries:Receive and distribute incoming mail, deliveries, and faxes in a timely and organized manner.

Knowledge & Skills Required:

  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with Concur or document management systems is highly desirable but not required.

  • Organizational Excellence: Ability to multitask, prioritize tasks, and meet deadlines with minimal supervision. Strong attention to detail is crucial to success in this role.

  • Communication: Exceptional verbal and written communication skills. Must interact with all levels of internal staff and external stakeholders in a professional, courteous, and effective manner.

  • Problem-Solving: Ability to approach problems logically, offering solutions that support the team's needs.

  • Adaptability: Comfortable working in a fast-paced, ever-changing environment and able to handle a variety of tasks concurrently.

Preferred Education and Experience:

  • Education: High school diploma or equivalent or relevant certifications in office administration or a related field is preferred.

  • Experience: At least 2 years of experience in a receptionist or support role in a fast-paced environment. Experience in greeting guest and handling administrative responsibilities.

Cumming Group reserves the right to pay more or less than the posted range, depending on a candidate's experience, skills, and qualifications, including client requirements.
