Job Title: Receptionist and Billing Specialist
Location: Flexpak – Woods Cross (On-site)

Position Summary:

The Receptionist and Billing Specialist is the first point of contact for visitors and clients, providing a welcoming and professional environment while managing essential administrative and billing functions. This role combines strong communication and organizational skills with accuracy in processing invoices, payments, and related financial documentation.

Key Responsibilities:

Reception & Administrative Support:

  • Greet and assist visitors, clients, and vendors in a courteous and professional manner.
  • Answer and direct incoming calls and emails to the appropriate departments.
  • Maintain a clean, organized, and professional front desk and lobby area.
  • Handle incoming and outgoing mail, deliveries, and courier services.

Billing & Accounting Support:

  • Generate and issue customer invoices in a timely and accurate manner.
  • Review purchase orders and delivery tickets for billing accuracy.
  • Record and apply customer payments when needed.
  • Communicate with clients regarding billing inquiries and account balances when needed.
  • Assist with accounts receivable collections and reporting.
  • Support the accounting team with data entry, filing, and document organization.

Other Duties:

  • Assist with administrative projects and cross-departmental tasks as assigned.
  • Ensure confidentiality and accuracy in handling all financial and company information.

Qualifications:

  • High school diploma or equivalent (associate degree preferred).
  • 2+ years of experience in a receptionist, administrative, or billing role.
  • Proficiency in Microsoft Office (Excel, Outlook, Word) and accounting software (e.g., QuickBooks, NetSuite, or similar).
  • Excellent verbal and written communication skills.
