Office Manager

Office Manager (to backfill Taylor Severy's position in Atlanta, GA office who will be taking the Office Manager position in Morristown, NJ replacing Jimaye Frage who accepted another position within Zelis). This is an in office role Monday - Friday.

Job Description – Office Manager – Atlanta, GA

Full-time in-office role Hours: 8:30am – 5:00pm (Monday – Friday)

· Open and maintain reception/lobby area.

· Distribute visitor badges/collect at end of stay.

· Responsible for the management of all visitors, vendors, etc. Follow Zelis protocols as it pertains to entering Zelis' space. Provide security team monthly visitor logs for reporting/auditing purposes.

· Track/order/stock all kitchen and office supplies.

· Work with facilities leads to update facilities documents and/or compose communications.

· Manage stocking of first aid kits.

· Manage weekly lunch vouchers.

· Process requisitions for supplies and equipment (non-project based).

· Handling of all incoming/outgoing USPS/carrier packages.

· Scanning of specific departmental mail (legal, tax, etc.).

· Tour the entire space weekly to ensure it is clean and in order. Report any issues to facilities manager.

· Stock larger conference rooms with supplies (pads, pens, etc.).

· Clean out workstations/offices when necessary.

· Submit work orders with property management follow through until completion.

· New hire onboarding (preparation of space, building access, signage, etc.).

· Manage all facility location activities.

· Assist with in-office meetings to include setting up meetings, catering, food deliveries, etc.

· Floorplan coordination.

· Work with facility team members on policies and procedures.

· Emergency evacuation team member/coordinator.

· Disseminate relevant Zelis/building related communications to location's distribution list.

· Supports Facilities team/projects and any special initiatives as needed.

· Assist other teams (Zelis Cares, Executive Assistants, etc.) with in-office needs, as necessary.

· Assist Facility Manager with projects and special initiatives as assigned.

Job Requirements:

· 2-3 years equivalent relevant work experience.

· Demonstrated experience in event coordination.

· Strong experience in Microsoft Office Suite. (Excel, PowerPoint, Word).

· Excellent written, verbal, negotiation, and planning skills.

· Have a "hands on" approach working in a fast-paced environment, solve problems effectively and creatively while maintaining a high level of flexibility, professionalism.

· Excellent communication and influencing skills at all levels of the organization; calm under pressure.

· People skills with ability to interact with diverse audiences.

· Proven positive experience collaborating with vendors/stakeholders.

· Ability to work independently and as a member of a team.

· Ability to manage multiple projects and priorities simultaneously.

· Excellent organizational skills.
