Pay Rate: $20.00 - $21.00 per hour
1st Shift: 8:00am-6:00pm, Monday-Thursday.

Position Summary
As the Receptionist & HR Administrator, you will play a key role in supporting the daily operations of our facility by managing front desk activities and providing administrative support to the Human Resources team. This position helps ensure a professional and welcoming reception experience while assisting with recruiting, onboarding, employee record maintenance, employee engagement activities, and general office administration.
Essential Duties and Responsibilities
Reception & Front Desk Operations
  • Welcome visitors, employees, vendors, and clients in a friendly and professional manner.
  • Manage incoming calls, emails, and general inquiries; route communications to appropriate personnel.
  • Handle incoming and outgoing mail, deliveries, and courier packages.
  • Maintain a clean, organized, and professional reception area and common spaces.
  • Coordinate meeting room reservations and prepare meeting spaces as needed.
  • Manage visitor sign-in and sign-out procedures.
  • Issue and track key fobs, access badges, and visitor credentials.
  • Assist with maintaining site security protocols related to visitor access.
Human Resources Administration Support
  • Assist with preparing interview materials, onboarding documents, and new hire welcome packages.
  • Coordinate new hire orientation schedules and onboarding communications.
  • Maintain employee personnel files and HR records in accordance with company policies and legal requirements.
  • Assist with maintaining I-9, training, and other employment-related records.
  • Support HR with data entry, attendance tracking, reporting, and document preparation.
  • Assist with recruiting coordination, including scheduling interviews and communicating with candidates.
  • Support employee engagement initiatives, training logistics, and internal communications.
  • Help coordinate training sessions, employee events, and company activities.
  • Handle sensitive employee information with a high degree of confidentiality and professionalism.
General Office Administration
  • Serve as the primary liaison for uniform vendors and manage uniform-related administrative tasks.
  • Support temporary employees with onboarding documentation, timesheet processing, and workplace orientation.
  • Coordinate the ordering and distribution of business cards and other office materials.
  • Prepare reports, forms, presentations, correspondence, and other administrative documents.
  • Order and manage office supplies and maintain appropriate inventory levels.
  • Assist with policy documentation, record retention, filing systems, and compliance-related activities.
  • Maintain both electronic and hard-copy filing systems.
  • Provide administrative support to various departments as business needs require.
  • Assist with special projects and other duties as assigned.
Qualifications
  • Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred; equivalent education and experience will be considered.
  • 1-2 years of experience in reception, office administration, customer service, or HR support preferred.
  • Strong verbal and written communication skills with a professional and customer-focused approach.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Excellent organizational skills with strong attention to detail.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
  • Strong interpersonal skills and a positive, team-oriented attitude.
  • Demonstrated willingness to learn and grow in Human Resources and office administration.
Physical Requirements
  • Ability to remain in a stationary position for extended periods, including sitting or standing.
  • Ability to occasionally move office supplies and materials.
  • No adverse environmental conditions are expected in this role.
