We're looking for a detail-oriented, proactive Real Estate Administrative Assistant to become the operational backbone of our business. This isn't just an administrative role—it's the engine that keeps every transaction moving smoothly from contract to close.

You'll manage transaction files, paperwork, deadlines, CRM updates, scheduling, compliance, and client communication with precision and care. Because of you, nothing falls through the cracks. You'll ensure every document is complete, every deadline is met, every appointment is scheduled, and every client feels supported throughout the process.

Compensation:

Responsibilities:Transaction Management
  • Prepares and manages all listing paperwork from start to finish

  • Manages transaction files from contract to close

  • Coordinates with title companies, lenders, and attorneys

  • Tracks all deadlines, contingencies, and compliance requirements

  • Ensures every file passes audit with 100% compliance

CRM & Database Management
  • Maintains CRM with accurate, up-to-date contact information

  • Enters all new leads and client data same-day

  • Manages contact databases and tagging systems

  • Runs reports and pulls data as needed for marketing and follow-up

Scheduling & Calendar Management
  • Schedules all appointments on behalf of the agent

  • Manages agent's calendar to optimize productivity

  • Confirms appointments and sends reminders

  • Coordinates showing schedules with clients and other agents

Communications & Documentation
  • Drafts emails, contracts, and client communications

  • Responds to routine inquiries within 4 business hours

  • Handles invoicing, expense tracking, and file audits

  • Ensures nothing falls through the cracks in any communication chain


Qualifications:
  • Background in real estate is required for this position
  • Available evenings and weekends
  • Communicates well, both verbally and written
  • High school diploma or equivalent required
  • Experience with transaction management software (Dotloop, SkySlope, etc.)
