About the role

We are excited to hire a motivated and organized Real Estate Administrative Assistant to support the team by handling various administrative and clerical tasks. This role is essential for ensuring the smooth operation of a real estate office and supporting the success of real estate transactions.

What you will do:

Administrative Support

  • Provide general administrative support to the agent, including scheduling appointments, managing calendars, and organizing meetings.

Document Preparation

  • Prepare and distribute real estate forms, documents, and marketing materials.

  • Create listings, sale and purchase agreements, and lease agreements.

  • Ensure all necessary documents are well-maintained and organized.

Client Communication

  • Communicate with clients by greeting them, answering phone calls, responding to inquiries, and making follow-up calls.

Office Management

  • Manage day-to-day office activities, including ordering supplies, maintaining electronic and paper filing systems, and processing mail.

Coordination

  • Coordinate property showings, assist at open houses, and gather feedback from clients.

  • Coordinate and manage all social media platforms, create and post content, social ads, and weekly updates.

Data Management

  • Maintain databases, create and update reports, and ensure accuracy of property and financial data.

Travel Arrangements

  • Make travel arrangements for the agent as and when required.

About you:

  • Digital & Marketing Skills: Experience in social media management, content creation, and basic marketing initiatives, with proficiency in Canva or any other design tools preferred.

  • Computer Proficiency: Familiarity with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software.

  • Organizational Skills: Strong organizational and time-management skills to handle multiple tasks efficiently.

  • Communication Skills: Excellent verbal and written communication skills to interact effectively with clients and team members.

  • Attention to Detail: High level of accuracy and attention to detail in preparing documents and managing data.

  • Team Player: Ability to work independently as well as part of a team.

Qualifications and Experience:

  • 3+ years of relevant work experience within the real estate industry

  • Experience using MLS, TRREB, MATRIX, REALTOR.CA

  • Can effectively use WebForms, REALM, Sky Slope, DigiSign, DocuSign, Broker Bay

  • Prior experience using Follow Up Boss software is preferred.

  • Demonstrated interest and passion for real estate in general

  • Ability to establish credibility, trust, and build relationships with people at all levels of the organization

  • Must demonstrate a high level of ethics and personal integrity
