Position Summary:               
 
As a Regional Office Administrator for RE/MAX Executive Realty, the responsibilities are extensive and varied, however the Regional Office Administrator is primarily responsible for the overall management of the offices, assuring all transactions are compliant both legally, financially, and within the Company’s requirements, while exceeding the expectations of the real estate agents and their clients.  The Regional Office Administrator is a reflection and an extension of the Company’s owners.

  • Current driver’s license
  • Having own car and automobile insurance

  • Background check and drug testing

Roles and Responsibilities
 
  • This position may require working in three different office locations within a week.  Office locations are Westborough, Grafton, and Hopkinton.
  •  Responsible for initial contact with our real estate agents, our clients, and the public.  Always be polite and professional as you may be the first and only impression of the Company.  
  •  Answer the telephone promptly and professionally with a smile.
  • Greet people with a smile and offer to be of assistance when someone comes into the office
  • Return emails promptly and professionally
  •  Responsible for office equipment and supplies.
  •  Make sure all equipment is operational and we have adequate supplies.
  • Make sure all company computers are functioning and display TVs are working
  • Anticipate inventory of supplies to ensure we always have on hand
  • Know which vendors to contact for assistance with equipment or services.
  • Responsible for the opening and the closing of the office and the general appearance of the office
  •  Make sure phones are off of Night Service
  • Check overnight messages and distribute accordingly
  • Maintain neatness in common areas at all times
  • Make sure the office is inviting and comfortable.
  • Lock and secure office when leaving.
Agent Support
 
  • Primary point of contact for our agents
  • Assist agents with office equipment, technology, and platforms
  • Assist agents with transaction documentation compliance
  •  Maintain agent’s licenses and state required information

Responsible for Transaction Compliance
  • Obtain and store all required documents 
  • Assure documents are completed correctly and fully executed
  •  Responsible for Financial Management for Transactions
  •  Timely collect funds for transactions and deposit into bank
  • Record all financial transactions
  • Assure each real estate transaction is in balance for the escrow account 
  • Prepare funds for disbursement
  • Balance each transaction
