Job description

POSITION REPORTS TO:         Director, Development Operations

POSITION MANAGES:             Interns

POSITION LOCATION:             Hybrid (requires days onsite and allows telework)

Wolf Trap Foundation for the Performing Arts seeks a Development Data & Systems Specialist who will play a critical role in advancing the Foundation's fundraising success by ensuring that donor and constituent data are accurate, accessible, and actionable across the organization. This position oversees all aspects of the Foundation’s Raiser’s Edge NXT CRM and related systems, serving as the primary resource for database management, reporting, and staff training.

DUTIES AND RESPONSIBILITIES:

  • Responsible for the overall usage, accuracy, efficiency, security, maintenance, administration, and development of Wolf Trap’s Raiser’s Edge donor database. This includes:
    • Support the Development and other Foundation staff use of Raiser’s Edge NXT and other related software.
    • Maximize use of Raiser’s Edge NXT and other software systems and add enhancements as needed to meet the needs of the Foundation and staff.
    • Manage the maintenance contract with Blackbaud.
    • Proactively lead regular database hygiene and maintenance efforts, including duplicate management, data appends, research and updates of specific datasets through imports, and periodic data audits, etc.
    • Serve as lead staff trainer for Raiser’s Edge.
    • Provide back-up for key database tasks, including gift and data entry, developing and running queries, segmentation and exports.
    • Proactively seek ways to streamline data processing for gift entry and make it more effective; coordinate with staff on gift accounting, acknowledgement, and accurate record keeping and reporting.
    • Ensure Raiser’s Edge data management and Financial Edge policies, procedures and best practices are documented and up to date.

Reporting & Analytics

  • Build and deliver dashboards, reports, and queries that support fundraising strategy and decision-making.
  • Translate data into actionable insights for Development leadership.

Technology

  • Identify and address both the opportunities and challenges of robust database use, proposing new and improved applications, including:
    • Develop, implement, and support automated systems for repetitive tasks for use by Development and other departments throughout the Foundation.
    • Assist in keeping Wolf Trap current in technology and applications by researching similar institutions and other means.
    • Work directly with software suppliers for software support, modifications, upgrades, and other requirements.
    • Identify opportunities and methods to integrate systems and data from other Foundation databases (including ticketing) and outside resources.

Fiscal Management

  • Work closely with the Finance department by providing monthly and annual reconciliation reports
  • Identify requirements and manage implementation of database and information systems for Development and related departments including Finance, Executive Offices, Box Office, Education, Communications & Marketing, and Opera.
  • Produce reports and other management information as needed, including supporting Finance with reports needed for audits and the annual 990.

Other

  • Provide support as needed to the Foundation enabling an efficient flow of business.
  • Other duties and responsibilities as assigned.

EDUCATION AND EXPERIENCE:

  • BA/BS degree or equivalent transferable experience
  • Experience in fundraising or sales/service environment.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

  • Expertise with Raiser’s Edge NXT; Raiser’s Edge certification required. Familiarity with RE NXT integration with Financial Edge NXT and Net Community preferred.
  • Experience with Windows products including Power Automate, Word, Excel, and familiarity with other relational databases
  • Excellent organizational, written and verbal communication, and customer service skills
  • Excellent time management skills, with evidence of overseeing, prioritizing, and executing multiple deadlines on a regular basi
  • Proficiency in computers and appropriate software, such as Microsoft Office programs, and relationship databases required; familiarity with The Raiser’s Edge preferred
  • Sensitivity and commitment to the mission of Wolf Trap Foundation for the Performing Arts

PHYSICAL DEMANDS:

  • Must be able to remain in a stationary position 75% of the time
  • Constantly operates a computer and other office equipment (i.e.copier, printer, etc.)
    • Regularly required to stand, walk, stoop, bend and reach with arms
    • Infrequently lift/move up to 20 pounds
