Essential Functions & Responsibilities

Strategic Projects Coordinator

The Strategic Projects Coordinator provides administrative, operational and logistics support to the Strategic Projects team. This role is responsible for coordinating transportation documentation, rail logistics tracking, vendor and customer administration, invoicing support, reporting and project-related activities.

This role serves as a critical liaison between internal teams, rail carriers, vendors, customers and operational stakeholders to ensure the timely and accurate execution of project shipments and transportation activities.

  • Prioritizes health and safety by adhering to policies, processes, and maintaining safe practices at all times
  • Enters and maintains transportation and project information within internal systems and external rail carrier platforms
  • Manages and processes transportation orders and related documentation
  • Monitors railcar movements through railroad websites and tracking systems; extracts data from access points and generates twice daily operations reports and shares railcar movement updates during conference calls
  • Develops and maintains transportation tracking spreadsheets and reporting tools; ensures accuracy and timely completion to support operations
  • Processes required documentation for drivers loading and unloading containers
  • Supports Strategic Projects team in coordinating project shipments and transportation activities
  • Assists with proposal preparation, documentation, and project-related administrative tasks
  • Maintains project records, schedules, tracking tools and supporting documentation and coordinates assigned project activities to support successful execution
  • Reviews, updates and maintains quote information and assists in customer invoicing and documentation review
  • Processes third-party invoices and performs assigned accounting-related duties
  • Contacts vendors to obtain pricing and service information; manages vendor invoices and supports the procurement of required supplies and services
  • Coordinates new vendor and customer approval requests and updates in partnership with Supply Chain team
  • Identifies discrepancies and works with stakeholders to resolve information gaps
  • Supports continuous improvement efforts related to operational processes and documentation accuracy
  • Participates in company safety programs and documents safety and training for Strategic Projects team
  • Utilizes knowledge of rail freight billing, STCC codes, container tracking and railroad terminology to effectively complete assigned projects
  • Maintains a foundational understanding of rail dispatch processes and fills in for role as needed
  • Takes on additional duties as assigned to support the team and organization
Education - High school diploma or equivalent (required) - Associate's degree in business, logistics, transportation, supply chain or related field (preferred)Experience
  • 2+ years of administrative, logistics, transportation, project coordination, or operations support experience (required)
  • Experience working with transportation documentation, invoicing, reporting or vendor administration (preferred)
  • Rail transportation, logistics, or environmental services industry experience (preferred)
